How to Use Desktop Stacks in macOS to Automatically Organise Files

The Mac desktop is a natural gathering point for everyday downloads, screenshot captures, client attachments, and temporary project drafts. Over a busy work week, these loose icons can rapidly overwhelm your wallpaper, obscuring desktop views and making it difficult to locate essential files. In macOS, Apple introduced Desktop Stacks—an intelligent organisation feature that groups cluttered desktop clutter into neat, interactive piles according to file type, date, or tags with a single click.

How Desktop Stacks Function

Unlike moving files into traditional folders, Stacks do not alter the underlying directory structure or path of your documents. When enabled, macOS visually aggregates related files into a single master icon on the right-hand edge of your screen:

  • Dynamic Grouping: Every time you save a new image or capture a screenshot, it automatically flies into its corresponding stack rather than taking up standalone desktop space.
  • Instant Inline Preview: Clicking a stack smoothly expands all its enclosed items across the desktop, allowing you to open or drag specific files without leaving the Finder canvas.
  • Zero File Displacement: If you ever turn Stacks off, every file effortlessly returns to its original individual position on your desktop.

How to Enable Stacks on Your Mac

Turning on Stacks takes mere seconds from anywhere on your Mac:

  1. Minimise or hide your open application windows to reveal your desktop wallpaper.
  2. Right-click (or hold Control and click) on an empty area of your desktop.
  3. From the contextual menu, click Use Stacks.
  4. Instantly, all scattered files on your screen will gather into organised piles along the right side of your desktop display.

Alternatively, click on the desktop, select View from the top macOS menu bar, and choose Use Stacks (or use the shortcut Control + Command + 0).

Customising How Stacks are Grouped

By default, macOS groups files by Kind (grouping all PDFs into Documents, images into Photos, and installers into Disk Images). You can change this grouping logic to match your workflow:

  1. Right-click any empty space on your desktop.
  2. Hover your mouse over Group Stacks By.
  3. Choose your preferred grouping criterion:
    • Kind: Groups by file extension (Images, Documents, Spreadsheets, Presentations, Videos).
    • Date Last Opened: Groups items accessed today, yesterday, last week, or earlier.
    • Date Added: Ideal for sorting recent downloads and newly saved assets.
    • Date Modified: Perfect for identifying currently active work files.
    • Tags: Groups files according to your colour-coded Finder tags.

Browsing and Scrubbing Through Stack Contents

Desktop Stacks offer unique interactive methods for locating the exact document you need:

  • Click to Expand: Click directly on a stack icon to expand its contents inline. Click the stack icon again (now marked with an arrow) to collapse the pile.
  • Scrub to Preview: Without clicking, swipe two fingers horizontally across your Mac trackpad (or scroll a mouse wheel) while hovering over a stack. The top thumbnail will cycle through every file in the pile, showing quick names and icons so you can locate an image without opening the stack.
