By default, the Apple Mail application on macOS uses a feature called “Organize by Conversation.” When multiple people reply back and forth to the same email subject line, Apple Mail will automatically collapse all of those individual emails into a single, unified thread. It will only display the most recent message in your inbox, hiding the older replies underneath a small drop-down arrow.
While this keeps your inbox visually clean, it can cause severe organizational problems. If a client replies to an old email thread with a completely unrelated question, their message will be buried deep inside a collapsed conversation rather than appearing as a distinct new item. This makes it incredibly easy to accidentally miss important emails.
If you prefer a strict, chronological list where every single email is treated as an individual, standalone item, you must disable the conversation view.
How to Turn Off Conversation Grouping
You can disable thread grouping directly from the macOS menu bar.
- Open the Mail app on your Mac.
- Look at the very top of your screen to locate the master menu bar.
- Click on View.
- Look about halfway down the drop-down menu for an option labeled Organize by Conversation. By default, it will have a small checkmark next to it.
- Click on Organize by Conversation to uncheck it.
The Mail app will instantly refresh your inbox. Every single email, reply, and forwarded message will now be broken out into its own distinct row, sorted purely by the date and time it was received, guaranteeing you never lose track of a reply buried inside a nested thread again.
