Collaborating on individual notes in the Apple Notes app is convenient for quick reminders, but when managing complex household projects, travel itineraries, shared family recipes, or ongoing team workflows, sharing notes one by one quickly becomes disorganised. You often end up with a scattered mix of shared and private notes, requiring you to send separate invitation links every time you create a new document.
To eliminate this friction, Apple Notes allows you to share entire folders with other iCloud users on iPhone, iPad, and Mac. When you share a folder, any note created inside or moved into that folder automatically inherits the same collaboration permissions. Every participant receives instant updates, can view revision activity, and can contribute simultaneously. This guide explains how to set up folder collaboration, customise participant permissions, and manage folder activity on iOS.
Requirements Before Sharing an Apple Notes Folder
Before sharing a folder, ensure the following conditions are met:
- Active iCloud Sync: Folder sharing is powered by iCloud. The folder must reside under the \”iCloud\” section of the Notes app, not in the local \”On My iPhone\” account. If your folder is stored locally, move it to iCloud first.
- Up-to-Date iOS Version: All collaborators should run iOS 16 or later (or corresponding iPadOS and macOS releases) to take full advantage of real-time collaboration, activity feeds, and mentions.
- Apple Account Credentials: Each collaborator requires an active Apple Account (formerly Apple ID) associated with an email address or telephone number.
- No Locked Notes: Apple Notes does not currently support password-locked or Face ID-protected notes inside shared folders. Remove locks from any individual notes before sharing the folder.
How to Share an Apple Notes Folder on iPhone
Sharing an entire folder takes only a few taps from the main folder list:
- Open the Notes app on your iPhone.
- Tap the back arrow in the top-left corner until you reach the main Folders directory under iCloud.
- Swipe left across the folder you wish to share, or long-press the folder name to reveal the contextual menu.
- Tap the Share Folder icon (depicted as a circular profile icon with a plus sign).
- Tap Share Options beneath the collaborate header to set your preferred access rules:
- Permission: Choose between Can make changes (allows everyone to add, edit, and delete notes) or View only (restricts participants to reading content).
- Who can access: Select Only people you invite to keep access private, or Anyone with the link if you plan to distribute the link within a broader group.
- Allow others to invite: Toggle this option off if you want to remain the sole administrator who can add or remove members.
- Select your preferred sharing method, such as Messages, Mail, or Copy Link.
- Enter the contact names, email addresses, or phone numbers of your collaborators and tap Send.
Once invited, recipients receive an interactive invitation link. When they tap the link, the shared folder appears instantly in their own Apple Notes iCloud list, marked with a shared folder icon.
Tracking Changes and Mentioning Collaborators
When multiple people edit notes within a shared folder, keeping track of edits is straightforward:
- The Activity Feed: Open any note inside the shared folder and tap the collaboration icon at the top of the screen. Select Show All Activity to see a chronological breakdown of who edited the note, including timestamps and specific additions.
- Highlighting Edits: In the activity menu, enable Show Highlights. Any text added or altered by another person will appear tinted in their designated collaborator colour. Swiping right across the note text displays the author’s initials and exact edit time.
- Using Mentions: To draw a specific collaborator’s attention to an urgent task or question, type an
@symbol followed by their name anywhere in the note. The participant receives an immediate push notification directing them straight to that line.
Managing Collaborators and Stopping Folder Sharing
As the folder owner, you maintain total control over participants and can revoke access at any time:
- Open the shared folder in the Notes app.
- Tap the More button (three dots) in the top-right corner.
- Tap Manage Shared Folder.
- To change permissions for an individual, tap their name and switch between Can make changes, View only, or tap Remove Access.
- To terminate collaboration completely, scroll to the bottom of the management sheet and tap Stop Sharing.
Stopping folder sharing immediately removes the folder and all its contents from your collaborators’ devices while keeping the entire folder intact in your personal iCloud account.
