How to Record Audio and Generate Live Transcripts in Apple Notes

Modern iOS updates transform Apple Notes into a versatile audio recording and dictation workspace. Rather than switching between the Voice Memos app and a word processor, users can now capture audio sessions directly within any note document, follow real-time synchronized text transcriptions, search spoken phrases, and seamlessly combine audio recordings with handwritten Apple Pencil notes, checklists, and document attachments.

Requirements for In-Note Audio Recording and Transcription

In-note audio recording and live transcriptions require modern hardware and system software to process on-device machine learning speech recognition:

  • An iPhone running iOS 18 or later, or an iPad running iPadOS 18 or later.
  • Speech-to-text models process audio locally on devices powered by the A12 Bionic chip or newer, ensuring personal conversations, university lectures, and private meetings remain private.
  • Audio transcriptions are initially available in English (US, UK, Australia, Canada, Ireland, New Zealand, South Africa) with expanded language support downloading automatically through system keyboard language settings.

How to Record Audio Inside an Apple Note

Starting an audio recording inside Apple Notes takes just a couple of taps:

  1. Open the Notes app on your iPhone or iPad.
  2. Create a new note or open an existing document where you want to embed the audio file.
  3. Tap the Paperclip (attachment) icon on the toolbar above the on-screen keyboard.
  4. Select Record Audio from the pop-up attachment menu.
  5. A dedicated audio interface card will appear at the top of your note. Tap the red circular Record button to begin capturing audio.
  6. While recording, you can continue typing notes, formatting text, or drawing in the space below the audio player.
  7. When finished, tap the red square Stop button, followed by Done in the upper right corner to save the session.

Viewing and Searching Live Transcripts

While audio is recording, or during playback, Apple Notes automatically generates an interactive speech transcript:

  1. Tap the audio card embedded in your note.
  2. Tap the Transcript button (represented by a speech bubble with quotation marks) located in the lower left corner of the audio player.
  3. The full, word-for-word transcript will open in an expanded view, highlighting spoken phrases in real time as the audio progresses.
  4. To find specific discussion points or topics within a lengthy lecture or meeting, tap the magnifying glass icon at the top of the transcript view to perform an in-transcript search.
  5. Tap any sentence in the transcript to jump audio playback instantly to that precise timestamp.

Adding Transcript Text into Your Note

If you wish to edit, quote, or format parts of the spoken transcript alongside your written content, you can easily transfer the text into the body of the note:

  1. Open the transcript viewer for your recorded audio session.
  2. Tap the three-dot overflow menu in the top right corner.
  3. Select Add Transcript to Note.
  4. The complete text transcript will be inserted as editable body paragraphs directly below the audio card in your note. From here, you can highlight key takeaways, convert sentences into bullet points, or apply heading styles.
  5. Alternatively, highlight specific sentences in the transcript with your finger, tap Copy, and paste the selected excerpt into any part of your document.

Managing, Exporting, and Renaming Audio Recordings

Every audio attachment inside Apple Notes functions as an independent media file that can be renamed, shared, or backed up:

  1. Tap the three-dot menu on the audio card header inside your note.
  2. Choose Rename Session to give your recording a descriptive name (for example, Client Planning Call – 12 Oct).
  3. Select Share Audio to export the raw M4A audio file to AirDrop, Files, Mail, or third-party cloud storage platforms.
  4. If you want to remove an unnecessary recording without deleting your note, tap the three-dot menu and choose Delete.

Because Apple Notes synchronises seamlessly across iCloud, your audio recordings and generated transcripts will immediately become available across your connected Mac, iPad, and iPhone devices for frictionless review.
