How to Schedule Events Across Time Zones Using the macOS Calendar App

When you are scheduling a critical video conference with clients or colleagues in a different country, calculating the time difference in your head is risky. If you accidentally calculate the difference backward, you could end up missing the meeting entirely. To prevent these frustrating scheduling errors, the built-in Calendar app on macOS includes a powerful Time Zone Support feature that allows you to explicitly set the time zone for an event and view it perfectly translated to your local time.

How to Enable Time Zone Support

By default, the Calendar app usually hides time zone options to keep the interface simple. You must manually enable the feature.

1. Open the Calendar app on your Mac.
2. Click on the word Calendar in the extreme top-left corner of your screen (the menu bar).
3. Select Settings (or Preferences on older versions of macOS).
4. Click on the Advanced tab.
5. Check the box labeled Turn on time zone support.
6. Close the Settings window.

How to Schedule an Event in a Different Time Zone

With the feature enabled, you can now schedule meetings exactly as they are presented to you by your international clients.

1. Double-click on any day in your calendar to create a new event.
2. Type a name for the event (e.g., “London Client Pitch”).
3. Click on the date/time section of the event popup to expand the scheduling details.
4. You will now see a new field labeled Time Zone. Click the drop-down menu next to it.
5. By default, it will show your current local time zone. Click Other… at the bottom of the list.
6. A map interface will appear. Type the city name of your client (e.g., “London, England”) into the search bar, select it, and click OK.

Now, you can type the time exactly as the client requested it (for example, 2:00 PM). Because you set the time zone to London, the Calendar app understands that this is 2:00 PM London time.

How the Event Displays on Your Calendar

Once you click away and save the event, the true magic of the feature happens. Your Mac knows where you physically are right now. It will automatically take that 2:00 PM London meeting and mathematically translate it into your local time zone.

If you live in New York, the meeting will automatically snap to the 9:00 AM slot on your grid. If you double-click the event to view the details, it will clearly show you both times: the original 2:00 PM London time, and a small note confirming that it translates to 9:00 AM your time, ensuring you are never late to an international call again.
