How to Use the Thesaurus in Microsoft Word

Writing a compelling document requires a diverse vocabulary. If you are drafting a performance review and realize you have used the word “excellent” four times in a single paragraph, the writing becomes repetitive and loses its impact. While you could open a web browser and search an online dictionary for a synonym, that disrupts your workflow and breaks your concentration. Microsoft Word includes a comprehensive, built-in Thesaurus that allows you to instantly find sophisticated alternatives without ever leaving the document, ensuring your writing remains sharp and engaging.

Method 1: The Quick Right-Click (Fastest)

For most everyday writing, you don’t need a massive list of options; you just need one good alternative quickly. The contextual menu provides the fastest path to a better word.

  1. Locate the repetitive or weak word in your document (e.g., “important”).
  2. Right-click directly on the word. It does not need to be highlighted first.
  3. A drop-down menu will appear. Look near the middle of the list and hover your mouse pointer over the word Synonyms.
  4. A secondary menu will slide out to the side, displaying a quick list of 5 to 10 common alternatives (e.g., crucial, vital, significant).
  5. Click the word that best fits your sentence.

Word will instantly delete your original word and seamlessly insert the new choice in its place, matching the original capitalization automatically.

Method 2: The Dedicated Thesaurus Pane (For Deeper Research)

If the quick right-click menu doesn’t offer the exact nuance you are looking for, you need to open the full dictionary tool to explore deeper definitions and antonyms (opposites).

  1. Click anywhere on the word you wish to replace.
  2. Navigate to the Review tab on the ribbon at the top of the screen.
  3. In the ‘Proofing’ group on the far left, click the Thesaurus button (the icon usually depicts a small book).
  4. Alternatively (Keyboard Shortcut): Simply click the word and press Shift + F7 on your keyboard.

Navigating the Thesaurus Pane

When you activate the full Thesaurus, a dedicated pane will slide open on the right side of your screen. This pane provides significantly more detail than the right-click menu.

  • Categorization: The pane organizes synonyms by definition. For example, if you look up the word “light,” it will group synonyms for “illumination” (glow, brightness) separately from synonyms for “weight” (flimsy, airy). This prevents embarrassing contextual errors.
  • Digging Deeper: If you see a synonym in the list that is close, but not quite right, you can click on that synonym within the pane. The Thesaurus will perform a new search on that specific word, allowing you to go down a vocabulary rabbit hole until you find the perfect phrasing.
  • Insertion: When you finally locate the ideal word in the pane, hover your mouse over it. A small downward arrow will appear next to it. Click the arrow and select Insert. The pane will remain open, but the word in your document will be instantly replaced.
