How to Schedule Tasks Using Task Scheduler in Windows 11

Automation is the key to an efficient operating system. Whether you want to run a system maintenance script every weekend, launch a specific application when you log in, or automatically empty a folder on a schedule, Windows 11 has a powerful built-in tool for the job: the Task Scheduler.

While the interface looks like it belongs to an older era of Windows, Task Scheduler remains one of the most robust administrative tools available. In this guide, you will learn how to create and manage automated tasks in Windows 11.

Accessing the Task Scheduler

To launch the tool:

  1. Click the Start button or press the Windows key.
  2. Type Task Scheduler into the search bar.
  3. Click on the Task Scheduler app in the search results. (For tasks that require administrative privileges to run, right-click the app and select Run as administrator).

How to Create a Basic Scheduled Task

For most automation needs, the “Basic Task” wizard is the easiest way to get started. We will use the example of automatically opening an application (like Notepad) every day at a specific time.

Step 1: Start the Wizard

  1. In the Task Scheduler, look at the Actions pane on the far right.
  2. Click on Create Basic Task….
  3. Give your task a descriptive Name (e.g., “Daily Notepad Launch”) and an optional description so you remember what it does later.
  4. Click Next.

Step 2: Set the Trigger

The trigger determines when the task will run.

  1. Choose the frequency. For our example, select Daily and click Next.
  2. Set the Start date and time. If you want it to run at 9:00 AM every morning, set the time accordingly.
  3. Ensure the “Recur every 1 days” option is set, then click Next.

Note: You can also choose triggers based on system events, such as “When the computer starts” or “When I log on”.

Step 3: Set the Action

The action determines what the task will do.

  1. Select Start a program and click Next.
  2. Click the Browse button to locate the executable file of the application or script you want to run. For Notepad, you would navigate to C:\Windows\System32\notepad.exe.
  3. (Optional) If you are running a script, you can add necessary arguments in the “Add arguments” box.
  4. Click Next.

Step 4: Review and Finish

  1. Review the summary of your task.
  2. Click Finish. Your task is now active and will run at the scheduled time.

Managing and Modifying Existing Tasks

Once a task is created, you may need to pause it, delete it, or change its parameters.

  1. In the left-hand pane of the Task Scheduler, click on Task Scheduler Library. This folder contains the tasks you have created, alongside many system tasks created by Windows itself.
  2. Scroll through the middle pane to find the task you created (e.g., “Daily Notepad Launch”).
  3. Right-click the task to access management options:
    • Run: Executes the task immediately, which is perfect for testing.
    • Disable: Stops the task from running on its schedule without deleting it.
    • Delete: Permanently removes the task.
    • Properties: Opens the advanced configuration window where you can change the triggers, actions, or conditions.

Advanced Configurations (Conditions and Settings)

If you right-click a task and select Properties, you gain access to advanced controls that the Basic Wizard hides.

  • General Tab: You can choose to run the task whether the user is logged on or not. You can also tick Run with highest privileges, which is essential if your task involves running a PowerShell script that modifies system settings.
  • Conditions Tab: You can dictate that the task only runs if the computer is idle, or only if a laptop is connected to AC power (preventing heavy scripts from draining the battery).
  • Settings Tab: You can configure the task to restart if it fails, or force it to stop if it runs longer than a specified duration.

By mastering the Windows 11 Task Scheduler, you can automate routine maintenance, streamline your workflow, and ensure your system runs scripts reliably without manual intervention.
