Managing meetings and finding mutually available times can be one of the most frustrating aspects of professional communication. To solve the endless back-and-forth of email scheduling, Google introduced Appointment Schedules in Google Calendar. This feature allows you to create a professional booking page where clients, colleagues, or students can view your real-time availability and self-schedule meetings.
Appointment Schedules vs. Appointment Slots
If you have used Google Workspace for a long time, you might be familiar with the legacy “Appointment Slots” feature. Google has officially replaced Appointment Slots with the new, significantly upgraded “Appointment Schedules” system. Unlike the old system, which required users to have a Google account to book a slot, the new Appointment Schedules generate an external-facing booking page accessible to anyone, regardless of their email provider. The new system also offers better integration with your existing calendar events to prevent double-booking automatically.
How to Create Your First Appointment Schedule
Setting up an appointment schedule is a straightforward process available on the desktop version of Google Calendar.
- Open Google Calendar in your web browser.
- Click the Create button in the top left corner (the plus icon) and select Appointment schedule.
- A configuration panel will open on the left side of the screen. Start by entering a clear title, such as “Consultation Call” or “Office Hours.”
- Set the Appointment duration (e.g., 30 minutes, 1 hour).
- Define your general availability. You can set specific recurring hours for each day of the week. If you are unavailable on specific dates (like holidays), you can add exceptions in the “Adjusted availability” section.
- Click Next to proceed to the booking page details.
Customizing Booking Page Settings and Availability
To ensure you aren’t overwhelmed with meetings, Google provides excellent pacing controls.
- Scheduling window: You can define how far in advance someone can book (e.g., up to 60 days) and the minimum notice required (e.g., no less than 4 hours before the meeting).
- Buffer time: This crucial setting allows you to add mandatory rest periods between appointments. If you set a 15-minute buffer, the system ensures you have time to prepare between back-to-back calls.
- Maximum bookings per day: You can cap the total number of appointments accepted on any single day to prevent burnout.
On the second configuration page, you can customize the appearance of your booking page. You can add a location (such as automatically generating a Google Meet link for every booking) and write a description that visitors will see. You can also customize the booking form to require specific information, such as a phone number or the reason for the meeting.
How to Share Your Booking Link with Clients
Once your schedule is configured and saved, you need to distribute the link.
- Click on the appointment schedule block on your calendar grid.
- Click the Share button.
- You will be presented with several options: you can copy the direct link, or you can copy HTML code to embed the booking button or the entire scheduling calendar directly into your professional website.
- Paste the link into your email signature, LinkedIn profile, or send it directly to clients when proposing a meeting.
Managing and Cancelling Booked Appointments
When a client books a slot, the event will automatically appear on your Google Calendar, and an email confirmation will be sent to both parties. The event will contain all the details collected from the booking form.
If you need to cancel, you can simply delete the event from your calendar. Google Calendar will prompt you to send a cancellation email to the attendee. Similarly, attendees receive a link in their confirmation email that allows them to cancel or reschedule without needing to contact you directly.
