How to Quickly Find and Replace Text in a Google Doc

If you have just finished writing a massive 50-page corporate report and suddenly realize you misspelled a client’s company name 40 times throughout the document, manually scrolling through and fixing each error will take hours. Instead of risking a mistake, you can use the Google Docs “Find and Replace” tool to instantly scan the entire document, locate every single instance of the wrong word, and swap it for the correct one simultaneously.

Using the Keyboard Shortcut

The fastest way to access this powerful editing tool is via a keyboard combination.

  1. Open your document in Google Docs on a desktop browser.
  2. Press Ctrl + H (on Windows/Chromebook) or Command + Shift + H (on Mac).
  3. A small “Find and replace” window will pop up in the top right corner of your screen.
  4. In the Find box, type the incorrect word you want to locate (e.g., “Aple”).
  5. In the Replace with box, type the correct word (e.g., “Apple”).

Applying the Changes

Once you have entered both words, you have two choices for how to execute the swap.

  • Method 1 (Cautious): Click the Replace button. Google Docs will highlight the very first instance it finds in the document and change it. You can keep clicking “Replace” to move through the document one by one, ensuring you do not accidentally change something you did not mean to.
  • Method 2 (Instant): Click the Replace all button. Google Docs will instantly swap every single instance in the entire document in less than a second.

If you are fixing acronyms or specific brand names, be sure to check the Match case box. This ensures that replacing “IT” (Information Technology) does not accidentally ruin every word containing “it” in your document.
