In collaborative project management and team environments, a single spreadsheet, document, or media asset often belongs to multiple departmental workflows. In the past, users frequently copied files to place them in different folders, resulting in fragmented document versions, confusing edits, and unnecessary duplication of cloud storage quotas.
To eliminate version discrepancies while maintaining flexible organization, Google Drive uses “Shortcuts”. A shortcut functions as a lightweight pointer to the original master file or folder. When collaborators edit a file accessed via a shortcut, they are updating the single authentic master copy in real time without consuming extra storage space.
Method 1: Add a Shortcut Using the Context Menu
The standard way to create a shortcut via the Google Drive web interface:
- Open Google Drive in your web browser.
- Locate and right-click the file or folder you wish to create a reference for.
- In the contextual menu, hover over Organise.
- Click Add shortcut.
- In the navigation dialogue that appears, browse to your intended destination location (such as a specific folder in My Drive, a Shared drive, or a subfolder).
- Click Add.
Google Drive will create a pointer item in the designated folder. Shortcut items display a small curved arrow overlay on their icon to easily distinguish them from original files.
Method 2: Use the Keyboard Shortcut (Shift + Z)
For power users who manage dozens of documents daily, the quickest method uses a dedicated keyboard sequence:
- Click once on the file or folder to select it in your Drive file list.
- Press the keyboard shortcut:
Shift + Z
- A compact folder picker modal will pop up instantly on your screen.
- Select the destination directory where you want the reference placed and click Add (or press Enter).
Method 3: Locate the Original File from a Shortcut
If you encounter a shortcut inside a shared workspace and need to trace back to its root parent folder:
- Right-click the shortcut item in Google Drive.
- Select File information, then click Details.
- In the details sidebar on the right-hand side, locate the Shortcut details section.
- Click Show file location; Google Drive will jump directly to the true master folder holding the original asset.
Important Shortcut Deletion Rules
Deleting a shortcut does not delete the original file. It only removes the pointer from that specific folder location. However, if the owner deletes the original master document, all associated shortcuts across all shared folders become broken pointers that display a “File in trash” notification.
