How to Configure Document Approvals and Version Locking in Google Docs

Collaborative word processing allows multiple stakeholders to draft policies, contracts, and marketing copy simultaneously. However, when documents reach critical milestones—such as legal sign-offs or executive budget approvals—untracked modifications or accidental edits can invalidate legal compliance. Google Docs features built-in Document Approvals and Version Locking. This capability allows authors to request formal, timestamped approvals from reviewers while locking the document against further edits during and after review.

Understanding the Google Docs Approval Workflow

The approval framework in Google Workspace provides structured governance without requiring third-party signature plugins:

  • Review Request Routing: Approvers receive automated email notifications and calendar reminders detailing pending approval requests.
  • Document Locking: Requestors can lock the document so that collaborators (even those with Editor permissions) cannot modify text while the review is active.
  • Audited Sign-Off: Once all approvers approve, the document is officially marked as approved and permanently locked, preserving a historical audit trail.
  • Edit Invalidation: If an author unlocks and modifies an approved document, all previous approvals are reset, preventing silent post-approval alterations.

Submitting a Document for Formal Approval

To initiate an approval request on an active Google Doc:

  1. Open your document in Google Docs.
  2. Click the File menu in the upper-left corner and select Approvals.
  3. The Approvals task pane opens along the right side of the workspace. Click Make a request.
  4. In the Approvers field, enter the email addresses of the designated reviewers.
  5. Add an optional descriptive message specifying the purpose of the review (e.g., “Please review Q4 compliance policy before legal sign-off.”).
  6. Set an optional Due date and time for review completion.
  7. Check the box labeled Lock file before sending approval request. This prevents collaborators from editing content while the review is underway.
  8. Click Send request. Approvers receive an immediate invitation with direct access to the document.

Reviewing and Approving as a Designated Approver

When an approver opens a document submitted for their sign-off:

  1. A prominent banner appears across the top of the document displaying: “Approval requested. You are an approver.”
  2. The approver reviews the content. If adjustments are necessary, they can leave comments or click Reject and provide explanatory feedback.
  3. If the document satisfies all requirements, the approver clicks the Approve button in the banner.
  4. An optional approval comment can be entered before confirming.

Auditing and Managing Approved Document Versions

Once all assigned reviewers complete their approvals:

  • The banner updates to confirm: “Approved version. This document is locked.”
  • To review the complete history of who approved the file and when, go to File > Approvals and inspect the detailed audit log.
  • If changes must be made to an approved document, click Unlock file in the banner. Google Docs displays a mandatory alert confirming that unlocking will invalidate the current approval status, requiring a new review cycle upon completion of edits.

Naming and Securing Milestones in Version History

To complement formal approvals with named version restore points:

  1. Navigate to File > Version history > Name current version.
  2. Assign a permanent label (e.g., “Final Legal Approved – v2.0”).
  3. To review or compare versions, open File > Version history > See version history (or press Ctrl + Alt + Shift + H).
