How to Create and Organise Smart Folders in Finder on Mac in macOS Sequoia for Automated File Sorting

As storage drives fill with project archives, screenshots, client deliverables, and download caches, manually categorising files into rigid directory structures becomes a time-consuming chore. In macOS Sequoia, Finder’s Smart Folders feature acts as a dynamic virtual aggregator. Instead of storing physical copies, Smart Folders execute continuous Spotlight search queries in the background, automatically pulling files matching your exact criteria into a unified view.

What Is a Smart Folder in macOS?

A Smart Folder is not a physical directory on your storage drive; it is a saved search query stored as an XML .savedSearch file. Because it operates on search filters rather than physical file paths, modifying or renaming a file inside a Smart Folder modifies the actual source document. When a file no longer matches the Smart Folder query criteria (for example, if you change its status tag or date), it automatically drops out of the folder without manual deletion.

Creating Your First Smart Folder in Finder

Setting up a basic Smart Folder takes just a few clicks:

  1. Open a new Finder window on your Mac.
  2. Click File in the top menu bar and select New Smart Folder (or press Option + Command + N).
  3. In the search header that appears, choose the search scope:
    • This Mac: Searches all attached storage volumes and user directories.
    • Current Folder: Restricts the query to the active folder and its subdirectories.
  4. Click the small + (Add) button in the upper-right corner beneath the search field to define search parameters.
  5. Select your filter criteria:
    • Kind: Filter specifically by Document, Image, PDF, Movie, Archive, or Presentation.
    • Last Modified Date: Select periods such as within the last 7 days or today.
    • File Size: Aggregate files larger than 500 MB to identify storage hogs.
  6. Click Save in the upper-right corner.
  7. Name your Smart Folder (e.g., “Recent PDFs” or “Heavy Media”) and check Add To Sidebar for quick access.

Building Advanced Multi-Rule Queries with Boolean Logic

For refined workflows, you can combine multiple rules using Boolean AND/OR/NOT conditions:

  1. In your Smart Folder editing view, hold down the Option key.
  2. Notice that the + button transforms into an ellipsis (…). Click it.
  3. A compound logical operator bar appears with a dropdown: All, Any, or None.
    • All (AND): Every condition below must be satisfied.
    • Any (OR): Matching any one of the criteria includes the file.
    • None (NOT): Excludes files matching the specified properties.
  4. For instance, you can construct a query that aggregates: Kind is PDF AND Tag is Work AND NOT File Extension is tmp.

Editing or Deleting Existing Smart Folders

To tweak an existing Smart Folder or delete it after a project finishes:

  • Edit Criteria: Open the Smart Folder from your Finder sidebar, click the Action (gear) button in the toolbar, and select Show Search Criteria to adjust filters.
  • Safe Deletion: Deleting a Smart Folder (by right-clicking and selecting Move to Trash or removing it from the sidebar) simply deletes the saved search query; none of your actual files are erased.
