How to Compare Two Documents in Google Docs to Track Changes

When reviewing contracts, collaborative manuscripts, academic essays, or policy drafts, identifying precise differences between two versions of a text can be tedious and prone to human error. While Google Docs includes built-in Version History for tracking edits within a single file, comparing two entirely separate documents once required manual side-by-side reading. Fortunately, Google Docs features a native Compare documents tool that automatically generates a unified third file highlighting every addition, deletion, and formatting change as clean suggestion markups.

How the Document Comparison Tool Works

Rather than overwriting or altering either of your existing files, Google Docs leaves both original files completely untouched. Instead, it generates a brand new document titled “Comparison of [Doc 1] and [Doc 2]”. Inside this newly generated file, any text present in the second document but missing from the first appears in green suggested insertions, while deleted sections appear as strikethrough suggestions, complete with author attribution timestamps.

How to Compare Documents in Google Docs

Running a comparison takes only a few simple steps:

  1. Open the original (baseline) document in Google Docs.
  2. Click on the Tools menu in the top toolbar.
  3. Select Compare documents.
  4. In the modal window that appears, click Select comparison document.
  5. Browse your Google Drive or search by name to choose the modified or second draft document, then click Open.
  6. Under Attribute differences to, enter the reviewer’s name (this name will label all suggested markup edits in the comparison).
  7. Optionally check Include comments from the selected document if you want to import marginal notes.
  8. Click Compare.
  9. Once Google Docs finishes analysing text differences, click Open.

Reviewing and Accepting Comparison Markups

Once your comparison document opens:

  • Review Suggested Edits: Scroll through the document to inspect green suggested additions and struck-through deletions in the margin.
  • Accept or Reject Changes: Click the checkmark icon (✓) on any suggestion card to accept the new phrasing, or click the X to discard it.
  • Accept All Edits: Click Tools > Review suggested edits > Accept all to adopt all revisions from the second draft in a single click.

Best Practices for Accurate Document Comparisons

To avoid clutter in your comparison document:

  • Standardise Formatting: Differences in font families or heading levels are flagged as revisions; ensure matching base styles if you only want to compare textual changes.
  • Table Structure: When comparing tables, ensure both files share similar row and column geometry so differences align accurately within corresponding cells.
