How to Compare and Merge Presentations in Microsoft PowerPoint to Review Slide Changes

Collaborating on presentation decks often results in team members circulating multiple conflicting versions of the same file. When colleagues email revised drafts or save separate copies with alternative wording and formatting, manually checking each slide side by side is tedious and prone to missing crucial revisions. Microsoft PowerPoint includes a dedicated Compare tool that automates this workflow by evaluating two presentation files and presenting a consolidated diff interface.

Using the Compare and Merge feature, you can open your original slide deck, select a revised presentation, and immediately review every alteration made to shapes, text blocks, slide layouts, speaker notes, and design themes. You retain total editorial authority, accepting or rejecting individual revisions or adopting entire slides with a single click. In this guide, you will learn how to prepare presentations for comparison, navigate the Revisions pane, accept or reject changes, and finalize your merged slide deck.

Why Use PowerPoint’s Built-In Compare Tool?

Unlike manual slide auditing or copying and pasting slides across windows, the built-in Compare tool provides structured change tracking:

  • Granular Item-Level Inspection: Highlights differences down to specific bullet points, resized objects, replaced images, and adjusted transitions.
  • Visual Revision Markers: Displays small revision badges directly beside modified slide elements for instantaneous identification.
  • Revisions Task Pane: Consolidates all slide-level and presentation-level changes in a navigable sidebar.
  • Non-Destructive Review: Preserves your original presentation structure until you explicitly approve modifications.

Step 1: Open Your Base Presentation

Before launching the comparison process, identify which file will serve as the master document:

  1. Launch Microsoft PowerPoint on your desktop.
  2. Open your primary presentation file (the master version where you want approved changes to be merged).
  3. If necessary, save a backup copy of this master presentation to avoid accidental overwrites during review.

Step 2: Initiate Presentation Comparison

Load the secondary file containing your colleague’s revisions:

  1. Click the Review tab in the PowerPoint ribbon at the top of the window.
  2. In the Compare group, click the Compare button.
  3. A file browser dialogue box titled Choose File to Merge with Current Presentation will appear.
  4. Locate and select the revised presentation file on your computer or OneDrive.
  5. Click Merge.

PowerPoint analyses both presentations and switches the ribbon into comparison review mode, opening the Revisions pane on the right side of the screen.

Step 3: Navigate the Revisions Task Pane

The Revisions task pane categorises all detected differences into two convenient tabs:

  • Slide Changes: Lists modifications specific to the currently selected slide, including added shapes, adjusted bullet points, and modified typography.
  • Presentation Changes: Highlights global alterations, such as deleted slides, inserted slides, reordered slide sequences, or changes to the slide master theme and design layouts.

To inspect a change, click any entry in the Revisions pane. PowerPoint automatically jumps to the affected slide and outlines the modified component with a dotted selection box.

Step 4: Accept or Reject Slide Changes

PowerPoint provides precise controls to accept or reject edits individually or in batches:

Accepting or Rejecting Individual Object Revisions

  1. Click the small revision badge next to a changed object on the slide canvas.
  2. A contextual pop-up card appears displaying details of the revision (for example, “Inserted text: ‘Projected Q4 Revenue'”) alongside the reviewer’s name.
  3. Check the checkbox next to the change to Accept it. To reject the change, leave the checkbox unchecked or click the Reject button in the ribbon.

Accepting or Rejecting Entire Slides

In the Review tab on the ribbon, locate the Compare group:

  • Click the drop-down arrow under Accept and choose Accept Change, Accept All Changes to This Slide, or Accept All Changes to the Presentation.
  • Similarly, click the drop-down arrow under Reject and choose Reject Change, Reject All Changes to This Slide, or Reject All Changes to the Presentation.

Handling Inserted or Deleted Slides

If the revised deck includes slides that do not exist in your master copy, they appear in the Presentation Changes tab under Deleted or Inserted Slides. Check the box next to an inserted slide to incorporate it into your deck at its designated position.

Step 5: Finalise and Save the Merged Presentation

Once you have reviewed every revision item and resolved all differences:

  1. Click the End Review button in the Compare group on the Review tab.
  2. A confirmation prompt will ask: “Are you sure you want to end the review of this presentation? This will discard any remaining unapplied changes.”
  3. Click Yes to close comparison mode and apply your approved modifications permanently.
  4. Click File > Save As to save your newly consolidated slide deck under an updated filename.
