In modern hybrid and remote workplaces spanning multiple time zones, team members often draft messages late in the evening, over the weekend, or during early morning preparation hours. However, sending immediate notifications outside of standard working hours can inadvertently wake colleagues, create unnecessary workplace stress, or cause critical action items to become buried under overnight chat traffic before the recipient starts their workday.
To promote healthy communication boundaries, Microsoft built a native Schedule Send feature into Microsoft Teams. With Schedule Send, you can compose your thoughts whenever inspiration strikes and specify the exact future date and time when the message should be delivered to your colleague or group chat. This comprehensive guide walks you through scheduling messages in Microsoft Teams on desktop and mobile, editing scheduled drafts before delivery, and establishing courteous remote work habits.
What Is Schedule Send and Why Should You Use It?
Schedule Send functions similarly to delay-delivery rules in Microsoft Outlook, offering several operational advantages for business teams:
- Respecting Work-Life Boundaries: Allows you to work whenever you are most productive without intruding on your colleagues’ personal evening or weekend downtime.
- Optimised Message Visibility: Sending an urgent question at 22:00 risks it being forgotten by the morning. Scheduling it to arrive at 09:00 ensures your message appears at the very top of their active inbox when they open their computer.
- Time Zone Coordination: If you collaborate with international colleagues several hours ahead or behind, schedule messages to align precisely with their local business hours.
- Draft Security: Scheduled messages are stored securely on Microsoft 365 cloud servers, meaning they will send on schedule even if you shut down your PC or lose internet connectivity.
How to Schedule a Message in Microsoft Teams Desktop and Web
Scheduling a message in the Teams desktop application for Windows, macOS, or on the web requires just a right-click:
- Open Microsoft Teams and navigate to the 1-on-1 chat or group chat where you want to send a message.
- Type your message into the text composer box, formatting text, mentions, and attachments as normal.
- Instead of clicking the paper aeroplane Send button normally, right-click the Send button (or press
Shift + F10on your keyboard). - A Schedule send menu dialogue will pop up over the composer.
- Teams will offer smart default suggestions (such as Tomorrow at 08:00). To choose custom timing, click the date and time pickers.
- Select your desired future Date and Time.
- Click Send at scheduled time.
- The composer will now display a banner above your text stating: “Scheduled to send [Date and Time]”.
- Click the Send button once more to queue the message.
The message will appear in your chat window encased in a light grey border with a clock icon, visible only to you until the scheduled delivery time arrives.
How to Schedule a Message in the Teams Mobile App (iOS & Android)
You can also schedule messages while on the go using your smartphone:
- Open the Teams app on your iPhone or Android phone.
- Navigate to the conversation and draft your message.
- Tap and hold (long-press) the Send arrow icon.
- The Schedule send bottom sheet will slide up.
- Pick your preferred date and delivery time, then tap Set.
- Tap the Send button to confirm the queue.
How to Edit, Reschedule, or Delete a Queued Message
If circumstances change before the delivery time arrives—for example, if a colleague answers the question in a meeting or you notice a typo—you can easily amend or cancel the queued message:
Editing the Message Text
- Hover your cursor over the scheduled message in the chat feed on desktop (or long-press on mobile).
- Click the Edit (pencil) icon.
- Update the text, add links, or attach files.
- Click the checkmark to save your edits. The original delivery schedule remains intact.
Changing the Delivery Time
- Hover over the scheduled message and click the Pencil icon to enter edit mode.
- Click the blue Scheduled time link in the header banner above the text.
- Select a new date or time, or click Cancel scheduled time to send the message immediately.
- Save your adjustments.
Deleting the Scheduled Message
- Hover over the queued message and click the three dots (…) more options menu.
- Click Delete. The message will be purged from the server without ever being shown to other participants.
Key Nuances: Group Chats vs Channel Posts
When working across different areas of Microsoft Teams, keep these scope details in mind:
- 1-on-1 and Group Chats: Schedule Send is natively supported in private chats, group conversations, and multi-party discussions.
- Standard Channel Posts: In older versions of Microsoft Teams, Schedule Send was restricted to private chats. In modern Teams (Teams 2.1), you can schedule channel replies and new conversation posts using the same right-click mechanism on the channel post button.
- Working Hours Prompts: If your organization uses Microsoft Viva Insights, Teams will automatically suggest a schedule send banner if you attempt to message a colleague outside their designated working hours.
