How to Send Emails Directly to a Microsoft Teams Channel Using Channel Email Addresses

In modern corporate workflows, business communications often span both email threads and collaborative team channels. Rather than copying and pasting email updates or forwarding messages individually to teammates, Microsoft Teams allows you to assign a dedicated email address to any standard channel. Leveraging a Teams channel email address allows external vendors, automated alerting systems, and internal stakeholders to send messages and attachments directly into your channel’s discussion feed.

Why Send Emails Directly to a Teams Channel?

Routing emails into a Microsoft Teams channel offers distinct collaboration advantages:

  • Centralised Visibility: Critical client updates or vendor newsletters are immediately visible to the entire project group without maintaining extensive distribution lists.
  • Automated Monitoring: Server alerts, software build notifications, or ticketing systems can dispatch automated status emails straight into technical support channels.
  • Attachment Archiving: Any documents attached to the forwarded email are automatically saved to the channel’s SharePoint storage folder for team-wide editing.
  • Organised Threads: Team members can reply directly beneath the posted email using standard Teams threaded messages, keeping conversation history contextual.

How to Obtain a Teams Channel Email Address

Retrieving the unique email address for a channel takes only a moment in the desktop app or web client:

  1. Open Microsoft Teams on your computer.
  2. Navigate to the Teams tab on the left rail and locate the specific team and channel you wish to configure.
  3. Hover over the channel name and click the three dots icon (…) for More options.
  4. Select Get email address from the popup menu.
  5. Teams generates a specialized email address (typically ending in @amer.teams.ms or similar domain syntax).
  6. Click Copy to copy the address to your clipboard.

Note: If the “Get email address” option is missing or disabled, your organisation’s Microsoft 365 administrator may have restricted channel email permissions in the Teams admin center.

Customising Email Sender Permissions

To prevent spam, unsolicited bulk promotions, or unauthorized mailings from flooding your team discussions, you can restrict who can send messages to the channel:

  1. In the Get email address dialogue box, click the advanced settings link.
  2. Choose your preferred sender restriction policy:
    • Anyone can send messages to this address: Useful for receiving external notifications from external vendors or automated webhook services.
    • Only members of this team: Limits posting strictly to colleagues who belong to the overarching team.
    • Only email sent from these domains: Allows you to specify trusted company or client domains (e.g., company.com, clientcorp.com).
  3. Click Save.

Sending an Email to the Channel Feed

Once you possess the channel email address, sending messages is identical to standard email delivery:

  1. Open Outlook, Gmail, or your preferred email application.
  2. Create a new message or forward an existing client thread.
  3. Paste the channel email address into the To or Cc line.
  4. Add a clear subject line and body text. Attach any relevant spreadsheets or PDFs.
  5. Click Send.

Within seconds, a new post will appear in the Teams channel. The post will display the sender’s identity, the email subject, a preview card of the email body, and clickable attachment tiles.

Where Are Email Attachments Stored in Teams?

When an email containing attachments arrives in a Teams channel, Teams handles the files intelligently:

  • The files are displayed as preview tiles within the conversation message card.
  • Simultaneously, Teams uploads the raw attachment files directly into the channel’s Files tab inside a dedicated folder named Email Messages.
  • Team members can open, co-author, and review these attachments in Excel or Word online without needing to download them locally.

How to Remove a Channel Email Address

If an email address is compromised by spam or no longer required after a project concludes, return to the channel’s three dots menu (…) > Get email address, and click Remove email address. The address will be decommissioned immediately.
