How to Stop Google Docs from Automatically Sharing with Collaborators

The Inherited Permissions

Google Docs relies entirely on Google Drive for its file management architecture. A common, yet highly stressful, issue occurs when you create a new, private Google Doc, but it immediately shows the “Shared” icon (two silhouettes) instead of the private padlock icon. This happens because Google Drive utilizes an “inherited permissions” model. If you navigate into a specific Google Drive folder that is shared with your entire marketing team, and you click “New” > “Google Docs” to draft a personal performance review, that new document automatically inherits the sharing settings of the parent folder, instantly exposing your private draft to everyone in that group.

Isolating New Documents

To ensure absolute privacy and stop Google Docs from automatically sharing new files with collaborators, you must change where you initiate the creation process.

You cannot change the fundamental mechanics of Google Drive folder inheritance. If you create a file inside a shared folder, it will be shared. To prevent this, you must always create sensitive documents in a private space first. The safest method is to completely avoid the Google Drive folder interface when starting. Instead, type docs.new directly into your Chrome address bar and press Enter. This instantly creates a brand new, completely private Google Doc located in the root directory of your “My Drive” (which is unshared by default). Once you have finished drafting the sensitive document, you can manually move it to the shared folder only when you are absolutely ready for others to see it.
