How to Restore a Previous Version of a Google Sheet

One of the greatest advantages of using cloud-based spreadsheet software like Google Sheets is its continuous automatic saving mechanism. Unlike traditional offline applications where a system crash could destroy hours of unsaved work, Google Sheets records every single keystroke. More importantly, it maintains a comprehensive chronological record of all changes made to your document over time.

This feature, known as Version History, allows you to view past versions of your spreadsheet, see exactly who made specific edits, and seamlessly revert the entire document back to an earlier state. This is an essential recovery tool if a collaborator accidentally deletes important formulas, improperly sorts data, or corrupts the spreadsheet structure.

How to Access Version History

Google Sheets stores the version history within the document itself, provided you have edit access to the file. If you only have “Viewer” or “Commenter” permissions, you will not be able to restore previous versions.

To access the history panel:

  1. Open your spreadsheet in Google Sheets.
  2. Click on File in the top menu bar.
  3. Hover your cursor over Version history.
  4. Click on See version history from the slide-out menu.

Alternatively, you can use the keyboard shortcut Ctrl + Alt + Shift + H on Windows, or Cmd + Option + Shift + H on a Mac, to open the panel instantly.

How to Preview and Restore a Past Version

Once you open the Version History panel, the interface will change. A sidebar will appear on the right side of your screen containing a list of timestamps and dates, while the main viewing area will display a preview of the spreadsheet as it existed at that specific time.

Follow these steps to restore your data:

  1. Scroll through the right-hand sidebar and click on a date and time to preview that version.
  2. If multiple people were editing the document, their names will appear beneath the timestamp. The changes they made will be highlighted in the spreadsheet with a specific colour corresponding to their name.
  3. If you need more precision, click the small triangle icon next to a date to expand the list and view minute-by-minute granular versions.
  4. Once you have found the exact version of the spreadsheet you want to recover, click the large blue Restore this version button located at the top of the screen.
  5. A confirmation dialogue box will appear. Click Restore to confirm.

The spreadsheet will immediately reload to reflect the exact data, formatting, and formulas of the chosen historical version.

Will Restoring Delete My Current Version?

No. When you restore a previous version of a Google Sheet, you do not permanently destroy the current version. Google Sheets simply treats the restoration as a new edit.

The “broken” version you just replaced is saved as its own timestamp in the Version History. If you realise you restored the wrong version, or if you simply want to return to the most recent state, you can open the Version History panel again and restore the version that existed right before your recovery action.
