How to Dictate Text Using Voice Typing in Google Docs

Whether you are suffering from a repetitive strain injury, dealing with a broken keyboard, or simply find that you think faster when you speak aloud, typing long essays manually can be incredibly tedious. To solve this, Google has built its world-class speech-recognition engine directly into its cloud-based word processor. The Voice Typing feature in Google Docs allows you to dictate entire documents flawlessly, insert punctuation using voice commands, and completely bypass the physical keyboard.

Enabling the Voice Typing Tool

Voice Typing is a native feature of Google Docs, meaning you do not need to install any third-party extensions. However, it is important to note that this specific feature only works in the Google Chrome browser. If you try to open Google Docs in Firefox or Safari, the microphone option will simply be missing from the menu.

  1. Open the Google Chrome web browser.
  2. Navigate to docs.google.com and open a new or existing document.
  3. Click on the Tools menu in the top navigation bar.
  4. Scroll down and click on Voice typing. (Alternatively, you can use the keyboard shortcut Ctrl + Shift + S on Windows or Cmd + Shift + S on Mac).
  5. A small, floating window containing a large grey microphone icon will appear on the left side of your document.

How to Dictate Text and Punctuation

Before you begin, ensure your laptop’s built-in microphone is unmuted, or plug in a dedicated USB headset for better audio clarity.

  1. Click the large Microphone icon in the floating window.
  2. The icon will turn bright red, and your browser might display a pop-up asking for permission to “Use your microphone.” Click Allow.
  3. Begin speaking normally. You will see the words appear on the screen in real-time as you speak.

The AI is highly advanced, but it cannot read your mind regarding grammar. To format your document properly, you must speak the punctuation marks explicitly out loud. For example, you should say:

“Welcome to the meeting comma I am glad you could make it period New paragraph Today we will discuss the budget period

Google Docs understands dozens of punctuation commands, including Question mark, Exclamation point, New line, and Quote/Unquote.

Correcting Mistakes Hands-Free

If the speech-recognition engine misunderstands a word, you do not need to reach for your mouse to fix it.

  • If it types the wrong word, simply say “Delete last word.”
  • If you want to select a specific phrase to speak over it, say “Select [word].” For example, “Select budget.” The word will highlight in blue, and whatever you say next will overwrite it.
  • When you are completely finished dictating, simply say “Stop listening,” and the microphone icon will turn grey, shutting off the recording.
