How to Create and Use AutoText Quick Parts in Microsoft Word

If you find yourself repeatedly typing the same blocks of text—such as a complex legal disclaimer at the bottom of a contract, a standard response to a client inquiry, or a meticulously formatted corporate signature block—you are wasting valuable time. Microsoft Word includes a powerful productivity feature called Quick Parts (specifically AutoText), which allows you to save formatted snippets of text, images, and tables, and instantly insert them into any document with a single click.

Step 1: Create Your Reusable Snippet

The first step is to design the text exactly how you want it to appear. Quick Parts save everything: font sizes, bolding, colors, indentations, and even embedded logos.

  1. Open a blank Word document.
  2. Type and format the content you want to save. For example, type out your standard three-paragraph “Terms and Conditions” block, applying bold headers and bullet points.
  3. Carefully highlight the entire block of text. Tip: Ensure you highlight the invisible paragraph mark (¶) at the end of the text if you want it to maintain its spacing when inserted.

Step 2: Save the Snippet to the Quick Parts Gallery

  1. With the text highlighted, navigate to the Insert tab on the ribbon.
  2. In the “Text” group (usually on the far right), click the Quick Parts button.
  3. Select Save Selection to Quick Part Gallery… from the bottom of the drop-down menu.

    • Gallery: Leave this as Quick Parts (or select AutoText).

    • Save in: Leave it set to Normal.dotm. This ensures the snippet is available globally in every new blank document you create.
  5. Click OK.

Step 3: Insert the Quick Part

Now, you can deploy that complex block of text into any future document instantly.

Method 1: The Menu

  1. Place your cursor where you want the text to appear.
  2. Go to Insert > Quick Parts.
  3. You will see a visual preview of your saved snippet at the top of the menu. Click it, and the formatted text drops perfectly into place.

Method 2: The Keyboard Shortcut (The Fastest Way)

  1. Type the exact name you gave the snippet in Step 2 (e.g., type TermsCond).
  2. Immediately press the F3 key on your keyboard.
  3. Word will instantly replace the short name with the full, formatted block of text.

Step 4: Managing and Deleting Quick Parts

As your library of snippets grows, you may need to update or delete old ones.

  1. Go to Insert > Quick Parts.
  2. Select Building Blocks Organizer…
  3. This window lists every built-in and custom snippet in Word. To find yours easily, click the Gallery column header to sort the list, and look for “Quick Parts” or “AutoText”.
  4. Select your snippet from the list. You can click Edit Properties to rename it, or Delete to remove it permanently.
