If your Mac’s Desktop or Downloads folder is constantly cluttered with a chaotic mix of screenshots, PDFs, and installer files, you can use a hidden macOS feature called “Folder Actions” to automatically organize them. By combining Folder Actions with the built-in Automator app, you can command your Mac to instantly move specific file types into designated folders the moment they appear.
Step 1: Create the Automator Script
Automator allows you to build custom workflows without writing any code.
- Open the Automator app on your Mac (you can find it using Spotlight search or in your Applications folder).
- When prompted to choose a type for your document, select Folder Action and click Choose.
- At the top of the workflow window, look for the dropdown menu labeled “Folder Action receives files and folders added to.” Click it, select Other, and choose your Downloads folder (or whichever folder you want to clean up).
- In the left sidebar, search for Filter Finder Items. Drag and drop this action into the main workflow area on the right.
- Configure the filter to target a specific file type. For example, set it to:
All of the following are true>Kind is image. - Search the left sidebar again for Move Finder Items. Drag and drop it directly below the filter action.
- Configure this action to move the files to a specific destination, such as a folder named “Pictures.”
Save your new workflow by pressing Cmd + S and name it something descriptive, like “Sort Images to Pictures Folder.”
Step 2: Enable the Folder Action
Now that the script is written, you need to ensure it is actively monitoring your folder.
- Open a Finder window and navigate to the folder you attached the script to (e.g., your Downloads folder).
- Right-click on the folder (or right-click the empty space inside the folder).
- Select Services (or Quick Actions on newer macOS versions), then click on Folder Actions Setup.
- Ensure the box next to “Enable Folder Actions” is checked.
- Your new script (“Sort Images to Pictures Folder”) should appear in the list on the right. Make sure the box next to it is checked.
From now on, whenever a new image file is saved or downloaded into that folder, macOS will automatically detect it and instantly teleport it to your designated Pictures folder behind the scenes.
