How to Use Microsoft Excel Pivot Tables for Data Analysis

If you have a massive Excel spreadsheet containing five years of daily sales data across fifty different store locations, answering a simple question like, “Which store sold the most laptops in 2021?” is a nightmare. Step 1: Preparing Your Data

Before you can build a Pivot Table, your raw data must be perfectly clean. Excel cannot summarize data if it does not understand the structure.

  • No Blank Rows: Ensure there are no completely blank rows or columns cutting through your dataset.

Step 2: Creating the Pivot Table

  1. Click and drag the “Store Location” header down into the Rows box. Instantly, a clean list of your fifty stores appears on the left side of the screen, removing all duplicates.
  2. Click and drag the “Revenue” header down into the Values box. Because Revenue contains numbers, Excel automatically assumes you want to add them together. It instantly calculates the total revenue for every single store.

In two seconds, you turned 50,000 rows into a simple 50-row summary.

Step 4: Pivoting the Data

The tool is called a “Pivot” table because you can change your perspective instantly.

Suppose you now want to know what specific products those stores sold. Simply grab the “Product” header and drag it into the Columns box. The table instantly expands, adding columns for Laptops, Phones, and Tablets, breaking down the revenue by both store and product simultaneously.
