When a landlord, a tax accountant, or a human resources department emails you a PDF contract that requires your physical signature, the traditional workflow is incredibly tedious. You generally have to find a functioning printer, sign the document with a physical ballpoint pen, use a flatbed scanner to digitize it back into a computer, and attach it to a completely new email. This entire multi-step process is completely obsolete. You can flawlessly draw your signature directly onto the digital file using your finger, entirely within the native iPhone Mail app, and instantly send it back without ever leaving the screen.
How to Access the iOS Markup Tool
Apple built a powerful PDF editor called “Markup” directly into the core operating system, allowing it to function seamlessly inside the Mail application.
- Open the native Mail app on your iPhone and open the email containing the PDF contract.
- Scroll down to the bottom of the email and tap the PDF attachment once to open it into full-screen view.
- In the absolute bottom right corner of the screen, tap the Markup icon. (It looks like a tiny pen tip enclosed inside a circle).
How to Create and Insert Your Signature
The screen will shift slightly, revealing a row of digital pens and highlighters at the bottom.
- Look for the small “+” (Plus) button in the bottom right corner of the toolbar and tap it.
- Select Signature from the pop-up menu.
- If you have never used this feature before, your iPhone screen will rotate horizontally and present a large blank area. Use your index finger to physically write your signature across the glass screen.
- If you make a mistake, tap “Clear” in the top right corner and try again. When you are satisfied, tap Done.
Placing and Sending the Document
Your beautiful, digital signature will now drop directly into the center of the PDF document.
- Place your finger on the center of the signature to drag it perfectly onto the dotted “Sign Here” line.
- Use the four blue dots on the corners of the signature box to resize it so it fits perfectly on the line.
- When everything looks flawless, tap Done in the top left corner of the screen.
- A crucial menu will appear. Select Reply All (or New Message).
The iPhone will instantly close the PDF, generate a brand-new reply email to the original sender, and automatically attach the legally binding, perfectly signed document to the message, ready to be sent with a single tap.
