How to Set Up and Use Time Machine on a Mac

Time Machine is the built-in backup feature of macOS. It is designed to automatically save copies of all your files, allowing you to restore everything from a single accidentally deleted document to your entire system in the event of a hard drive failure.

How to Set Up Time Machine

To use Time Machine, you need an external storage device (like a USB hard drive or Thunderbolt SSD). Ideally, this drive should have at least twice the storage capacity of your Mac’s internal drive.

  1. Connect the Drive: Plug your external hard drive into your Mac.
  2. Open Settings: Go to the Apple menu () > System Settings (or System Preferences).
  3. Navigate to Time Machine: Click General in the left sidebar, then click Time Machine on the right.
  4. Select Your Disk: Click Add Backup Disk (or the plus + button). Select your connected external drive from the list.
  5. Configure: Click Set Up Disk. You will be prompted to encrypt your backup (highly recommended to protect your data if the drive is lost) and create a password.

Your Mac will now begin its first backup. This can take several hours depending on how many files you have. Once complete, Time Machine will automatically run hourly, daily, and weekly backups in the background as long as the drive is plugged in.

How to Restore Individual Files

If you accidentally deleted a file or want to recover an older version of a document:

  1. Open the folder where the deleted file used to live (e.g., your Documents folder).
  2. Open the Time Machine app. You can find this in your Applications folder, or search for it using Spotlight (Command + Space).
  3. Your screen will transform into a “space” interface. Use the arrows or the timeline on the right side of the screen to scroll back in time to a date when the file existed.
  4. Select the file you want to recover and click the Restore button. The file will magically reappear in its original location.

How to Restore Your Entire Mac

If you bought a new Mac, or your current Mac suffered a catastrophic failure and you had to wipe it, you can restore everything exactly as it was.

  1. Boot into Recovery Mode:
    • Apple Silicon Macs (M1/M2/M3): Shut down the Mac. Press and hold the power button until you see “Loading startup options.” Click Options, then Continue.
    • Intel Macs: Restart the Mac and immediately press and hold Command + R until the Apple logo appears.
  2. Select Restore: Once the macOS Recovery screen loads, click Restore from Time Machine Backup and click Continue.
  3. Follow Prompts: Select your Time Machine drive, choose the most recent backup date, and select your Mac’s internal drive as the destination. Wait for the process to finish, and your Mac will reboot exactly as you left it.
