How to Set Up a Custom Domain Email with Google Workspace

If you are running a small business, a freelance portfolio, or a personal brand, using a standard @gmail.com email address can look unprofessional to clients. Setting up a custom domain email—such as [email protected]—instantly boosts your credibility. While you can host email through almost any web hosting provider, many professionals choose Google Workspace because it allows you to manage your professional email using the exact same familiar Gmail interface you already know.

Setting up Google Workspace (formerly G Suite) requires a bit more technical configuration than simply creating a free Gmail account. You must prove to Google that you actually own the domain name, and you must configure your domain’s DNS settings to route incoming emails to Google’s servers instead of your website host.

This guide walks you through the essential setup process. Before you begin, ensure you have login access to wherever you purchased your domain name (e.g., GoDaddy, Namecheap, or Cloudflare).

Step 1: Sign Up and Verify Domain Ownership

The first stage is creating your Google Workspace account and linking your domain.

  1. Go to the Google Workspace website and click Get Started.
  2. Enter your business name, the number of employees, and your current contact email address.
  3. When asked “Does your business have a domain?”, select Yes, I have one I can use.
  4. Type in your domain name (e.g., yourdomain.com).
  5. Create your admin username. This will become your primary custom email address (e.g., [email protected]).
  6. Complete the checkout process to start your free trial.

Once you are logged into the Google Workspace Admin Console, Google will prompt you to verify domain ownership. This proves you are not trying to hijack someone else’s email.

  1. Google will provide a TXT record (a long string of random characters). Copy this code.
  2. Open a new browser tab and log into your domain registrar (where you bought the domain).
  3. Navigate to the DNS Management or Advanced DNS section for your domain.
  4. Add a new DNS record. Set the type to TXT, the name/host to @, and paste the Google code into the Value field. Save the record.
  5. Return to the Google Workspace tab and click Verify. (Note: DNS changes can take anywhere from five minutes to a few hours to propagate across the internet).

Step 2: Update Your MX Records

Verifying ownership is not enough to receive emails. You must now tell the internet to send messages addressed to your domain directly to Google’s mail servers. This is done by changing your Mail Exchanger (MX) records.

  1. Log back into your domain registrar’s DNS management page.
  2. Look for any existing MX records. If your domain provider automatically created default MX records (often pointing to their own parking servers), you must delete all of them. If you leave old MX records active, your emails will bounce or get lost.
  3. You must now add Google’s specific MX records. Depending on when you signed up for Workspace, Google either uses one unified record or a list of five records.
    • Newer accounts: Usually only require one record: Priority 1, Value smtp.google.com.
    • Older/Standard accounts: Require five records (e.g., ASPMX.L.GOOGLE.COM at Priority 1, ALT1.ASPMX.L.GOOGLE.COM at Priority 5, etc.).
  4. Always refer to the exact MX records displayed in your Google Workspace Admin setup wizard and add them exactly as written to your DNS panel.

Once you have added the correct Google MX records and deleted any old ones, click the Activate Gmail button in your Workspace Admin console.

Step 3: Log In and Send a Test Email

Once Google confirms that your MX records are correctly configured, the technical setup is complete.

  1. Go to gmail.com on your web browser.
  2. Log in using the new custom email address you created ([email protected]) and the password you set during sign-up.
  3. You will see the familiar Gmail inbox interface, but it will be entirely empty and tied to your professional domain.
  4. To ensure everything is working, send a test email from your personal @gmail.com account to your new custom address, and then reply to it.

Crucial Next Steps: SPF, DKIM, and DMARC

While you can now send and receive emails, your job is not entirely finished. If you skip this final step, emails sent from your new custom domain are highly likely to end up in your recipients’ spam folders.

To ensure high email deliverability, you must configure three additional DNS records: SPF, DKIM, and DMARC. These are security protocols that prove to other email providers (like Microsoft Outlook and Yahoo) that the emails are legitimately coming from you and have not been spoofed by spammers.

You can generate the required DKIM keys directly inside the Google Workspace Admin console under Apps > Google Workspace > Gmail > Authenticate email. You will then copy and paste these keys into your domain’s DNS settings, just as you did with the MX records.
