Handling Document Clutter Without Paying for Subscriptions
If you work in an office or run a small business, you frequently deal with PDF documents. Whether you are collecting invoices from different vendors, compiling multiple research reports into a single brief, or merging scanned pages of a legal contract into one complete file, knowing how to combine PDFs is an essential digital skill.
If you search the internet for “how to combine PDFs,” you will immediately be bombarded with advertisements for expensive software subscriptions like Adobe Acrobat Pro, or sketchy third-party websites offering to do it for free (in exchange for uploading your highly sensitive personal data to their unknown servers).
If you own a Mac, you do not need to pay a subscription fee or risk your privacy. Apple includes a powerful, built-in tool called Preview that allows you to instantly merge PDF files entirely for free, right on your desktop.
How to Combine Two PDFs Using the Preview App
The Preview app is the default application that opens whenever you double-click a PDF or an image on your Mac. It contains a hidden sidebar that makes merging documents incredibly simple via drag-and-drop.
- Locate the two PDF files you want to combine on your computer (for example, on your Desktop).
- Double-click the first PDF (the one you want to appear at the beginning of the merged document) to open it in the Preview app.
- Look at the top menu bar of the Preview window. Click the View Menu icon (it looks like a small rectangle with a sidebar on the left) and select Thumbnails from the dropdown list.
- A new sidebar will appear on the left side of the window, showing small thumbnail previews of the pages currently in the document.
- Now, click and hold your mouse on the second PDF file sitting on your Desktop.
- Drag that second file directly into the Thumbnail sidebar of the open Preview window.
- You can drop the new file exactly where you want it. If you drop it at the very bottom of the sidebar, the new pages will be added to the end of the document.
Once you release your mouse, the two files are instantly merged. The new pages will appear in the thumbnail sidebar.
How to Insert Pages Between Existing Pages
You do not have to just add the second PDF to the end of the first one. Preview allows you to insert documents directly into the middle of an existing file.
If you are dragging your second PDF file into the Thumbnail sidebar, slowly drag your cursor between two specific pages (for example, between Page 2 and Page 3). You will see a thin blue line appear between those two thumbnails. When you release your mouse, the entire second PDF will be injected into the document right at that specific split.
How to Extract and Move Specific Pages
Sometimes you do not want to merge an entire 50-page document. Perhaps you only want to take Page 4 from one PDF and combine it with a different document.
- Open both PDF files in two separate Preview windows.
- Ensure the Thumbnails sidebar is open in both windows (View > Thumbnails).
- Place the two windows side-by-side on your screen.
- In the first window, find the specific page thumbnail you want to extract.
- Click and drag that single thumbnail directly into the sidebar of the second window.
This allows you to surgically pull specific pages from multiple different files and compile them into a brand new, custom document.
Saving Your Merged Document
By default, macOS autosaves changes made in Preview. This means the moment you drop the second PDF into the first one, the original file is permanently altered into a merged document.
If you want to keep the original files untouched and create a brand new file for the merged version:
- Click File in the main Apple menu bar at the top of the screen.
- Select Export as PDF…
- Give the new merged document a clear name (like “Combined_Report_Final”) and choose where to save it.
- Click Save.
You now have a perfectly combined PDF document, created in seconds, without paying a penny or uploading your data to the cloud.
