How to Convert a Microsoft Word Document to PDF

When you finish writing a resume, drafting a legal contract, or preparing a final business report, sending the raw Microsoft Word document (.docx) to the recipient is usually a mistake. Word documents can look completely different depending on the device or software the recipient is using to open them. Fonts might be missing, formatting can break, and most importantly, the text can be easily altered.

To ensure your document looks exactly as you intended and remains uneditable, you should always convert it into a Portable Document Format (PDF) file. While there are thousands of “free online PDF converters” on the internet, you should never upload sensitive documents to these ad-supported websites. Instead, you can convert your files securely and instantly using tools you already have.

Method 1: Export to PDF Using Microsoft Word

If you have Microsoft Word installed on your Windows or Mac computer, you do not need any additional software. The ability to create a high-quality PDF is built natively into the application.

  1. Open your document in Microsoft Word.
  2. Click on the File tab in the top-left corner of the ribbon menu.
  3. In the left-hand sidebar, click on Export. (If you are using an older version of Word, this might simply be under the Save As menu).
  4. Click the large button labelled Create PDF/XPS Document.
  5. A standard file explorer window will open. Choose where you want to save the new PDF file (such as your Desktop or Documents folder).
  6. In the “Save as type” dropdown menu, ensure PDF (*.pdf) is selected.
  7. Click the Publish or Save button.

Word will generate a brand new PDF file and usually open it immediately in your default PDF viewer (like Adobe Acrobat or Microsoft Edge) so you can verify the formatting.

Method 2: Convert to PDF Using Google Docs (Free Alternative)

If you do not own a Microsoft Office subscription and are using a computer that does not have Word installed, you can easily convert a .docx file for free using Google Docs.

  1. Open your web browser and navigate to Google Drive (drive.google.com).
  2. Upload your Word document by dragging and dropping the file into your browser window, or by clicking New > File upload.
  3. Once the file is uploaded, double-click it. It will open in a preview window.
  4. At the top of the preview window, click Open with Google Docs. The document is now editable in your browser.
  5. Click on the File menu in the top-left corner.
  6. Hover your mouse over Download.
  7. Select PDF Document (.pdf) from the secondary menu.

Google will instantly convert the file on its servers and download the finished PDF directly to your computer’s default Downloads folder.

Why You Should Avoid Third-Party PDF Converters

If you search Google for “convert Word to PDF,” you will be bombarded with hundreds of free, web-based tools offering to do the job for you. While they are convenient, they pose a massive privacy risk.

When you use these services, you are uploading your file to a server owned by an unknown third party. If you are converting a document that contains personally identifiable information (PII), financial data, or confidential business strategies, you have no guarantee that the file will actually be deleted from their servers after the conversion is complete. Always rely on native desktop software or trusted enterprise platforms like Google Workspace or Microsoft 365 for document conversion.
