When compiling formal reports, project charters, corporate contracts, and technical specifications in Microsoft Word, maintaining central document notes\u2014such as change summaries, reviewer guidelines, or distribution disclaimers\u2014is essential. Instead of manually typing these summaries across multiple header sections, appendices, or cover pages where they can become desynchronised, Word provides the built-in COMMENTS dynamic field code. By linking directly to the document\u2019s central properties, the COMMENTS field displays and automatically updates summary metadata across the entire document layout.
Understanding the COMMENTS Field Code
The COMMENTS field retrieves the text string stored within the document\u2019s native Summary Information metadata stream. Unlike margin-based revision balloons (which are part of Word\u2019s Track Changes reviewing engine), the COMMENTS field:
- Reads directly from the file\u2019s internal Comments property field.
- Inserts plain text or formatted strings inline with normal body copy, tables, headers, or footers.
- Can update the document\u2019s underlying comments property directly when modified via field code switches.
- Ensures consistent distribution notes across document templates without altering revision history.
Configuring Document Comments in Word Properties
Before displaying comments through dynamic fields, ensure the document metadata contains the required text:
- Open your document in Microsoft Word.
- Navigate to File > Info.
- On the right side of the screen, locate the Properties dropdown and select Advanced Properties.
- In the properties dialogue box, select the Summary tab.
- In the Comments text area, type your desired notes, release guidelines, or distribution summary (for example:
Internal Review Copy - Approved for distribution to engineering teams only). - Click OK and return to your document.
Inserting the COMMENTS Field via the Word Interface
To insert the comments string dynamically into your document body, header, or cover page:
- Place your cursor where you want the comment text to appear.
- Switch to the Insert tab on the Ribbon.
- In the Text group, click Explore Quick Parts (or Quick Parts) and choose Field.
- In the Categories drop-down menu, select Document Information.
- Under Field names, select Comments.
- Under Format, select your preferred text casing (e.g., (none), Uppercase, Lowercase, or Title case).
- Click OK to place the dynamic field.
Inserting and Editing the COMMENTS Field Using Keyboard Shortcuts
Power users can insert and customize field codes directly using native keyboard shortcuts:
- Place the insertion point at the required position.
- Press Ctrl + F9 (or Cmd + F9 on macOS) to insert special field code braces (
{ }). Note: You cannot type these braces manually. - Inside the braces, type the field syntax:
{ COMMENTS } - Press F9 to evaluate and update the field code, displaying the current comment string.
To toggle between the rendered text and the underlying field code at any time, select the field and press Shift + F9.
Updating Document Properties Directly from Field Code Switches
The COMMENTS field code supports an optional literal text parameter. When specified, evaluating the field writes new text back into the document\u2019s advanced properties:
{ COMMENTS "Confidential - Final Draft Reviewed by Audit Committee" }
When you press F9 to calculate this field:
- The text enclosed in quotes displays inline in the document.
- Word automatically updates the Comments metadata entry in File > Info > Advanced Properties > Summary to match the string.
Applying Text Formatting Switches
You can enforce consistent typographical styling regardless of how the metadata was originally entered in the properties dialogue using Word formatting switches:
- Title Casing:
Capitalises the first letter of each word.{ COMMENTS \* Caps } - Uppercase:
Forces all characters to uppercase.{ COMMENTS \* Upper } - Lowercase:
Forces all characters to lowercase.{ COMMENTS \* Lower } - First Capital:
Capitalises only the first letter of the first word.{ COMMENTS \* FirstCap }
Updating and Locking COMMENTS Fields
Field codes in Microsoft Word do not always update continuously in real time. To ensure your document displays current comments:
- Update Selected Field: Click within the field and press F9.
- Update Entire Document: Press Ctrl + A to select all content, then press F9.
- Lock Field Against Unintended Changes: Select the field and press Ctrl + F11. Word locks the field so subsequent document updates will not alter the displayed text.
- Unlock Field: Press Ctrl + Shift + F11 to re-enable dynamic updates.
