When collaborating on complex reports, academic dissertations, or imported documents in Microsoft Word, inconsistent formatting can quickly become an infuriating issue. You might find paragraphs that appear identical yet wrap differently, rogue line spacing that defies regular style adjustments, or mysterious font substitutions introduced by copying and pasting across multiple sources. While standard ribbon tools display active font and size selections, Microsoft Word contains a dedicated deep-diagnostic tool: the Reveal Formatting pane.
What Is the Reveal Formatting Pane?
The Reveal Formatting pane is a specialised task sidebar that provides an itemised, hierarchical breakdown of every formatting property applied to the current text selection. Rather than guessing whether an indentation discrepancy stems from a paragraph style, a manual ruler tweak, or section-level margin controls, the Reveal Formatting tool breaks down the exact properties into three transparent layers:
- Font Formatting: Font family, exact point size, font colour, language attributes, kerning, and character spacing effects.
- Paragraph Formatting: Alignment, outline level, left/right indents, before/after paragraph spacing, line spacing, and pagination rules (such as Keep with Next).
- Section Formatting: Margin dimensions, paper orientation, paper size, and header/footer linkage rules.
How to Open the Reveal Formatting Pane in Microsoft Word
You can launch the Reveal Formatting task pane in two convenient ways:
- Keyboard Shortcut (Fastest): Press Shift + F1 on your keyboard. The Reveal Formatting task pane immediately docks to the right side of your document workspace.
- Via the Styles Pane: Click the dialog launcher icon in the bottom-right corner of the Styles group on the Home tab (or press Alt + Ctrl + Shift + S). At the bottom of the Styles window, click the Style Inspector button, then click Reveal Formatting.
How to Compare Formatting Between Two Text Selections
One of the most powerful capabilities of the Reveal Formatting tool is side-by-side style comparison. If two headings or body paragraphs look slightly different but you cannot identify the exact discrepancy:
- Open the Reveal Formatting pane (Shift + F1).
- Highlight the first text sample. Its formatting properties populate the pane.
- Tick the Compare to another selection checkbox in the pane.
- While the checkbox remains ticked, highlight the second text sample in your document.
- Inspect the Formatting differences section that appears in the pane.
Word instantly filters out all matching attributes and displays only the precise discrepancies (for example, showing that Selection 1 has Spacing After: 6 pt while Selection 2 has Spacing After: 8 pt). This eliminates all guesswork when standardising corporate documentation.
Modifying Formatting Directly from the Pane
Every category heading in the Reveal Formatting pane functions as an active hyperlink:
- Clicking the blue Font link opens the standard Font dialogue box.
- Clicking the Alignment or Indentation links opens the Paragraph dialogue box.
- Clicking the Margin link opens the Page Setup dialogue box.
Any adjustment you make in these dialogues applies immediately to your selected text and refreshes the pane in real time.
Clearing Rogue Direct Formatting
If the Reveal Formatting pane indicates that an unwanted manual override has been applied over a clean paragraph style, you can rapidly strip the direct formatting:
- Press Ctrl + Spacebar to remove direct character formatting and reset text to the underlying style’s default font.
- Press Ctrl + Q to remove direct paragraph formatting and reset paragraph spacing, indents, and alignment to the style’s baseline.
