Formulas are the foundational building blocks of Google Sheets, enabling dynamic sums, complex lookups, and automated financial models. However, there are numerous scenarios where maintaining active formulas causes operational issues: referencing external data that may later change or vanish, preparing static datasets for distribution to clients, or improving spreadsheet performance across worksheets containing tens of thousands of volatile calculation cells.
Converting calculated formulas into static values (often referred to as “hardcoding” or “freezing” values) permanently replaces dynamic calculations with their current displayed output, locking the data in place and eliminating circular dependency errors.
Why Convert Formulas to Static Values?
Freezing formulas into static text or numbers provides several tangible operational benefits:
- Prevents Unintended Recalculation: Formulas utilising volatile functions such as
TODAY(),NOW(), orRANDBETWEEN()continuously update each time the spreadsheet recalculates. Converting them to values locks the timestamp or generated sequence permanently. - Safeguards Against Broken References: If your formula references adjacent columns or external imported tabs (via
IMPORTRANGE) that you intend to delete or restructure, converting to values prevents dreaded#REF!errors. - Boosts Workbook Performance: Worksheets loaded with thousands of complex
INDEX/MATCHor array formulas demand substantial browser CPU resources. Freezing static historical rows dramatically reduces calculation latency. - Clean Client Delivery: Sharing clean datasets without exposing proprietary internal logic, custom formula syntaxes, or confidential calculation sheets.
Method 1: Convert Formulas Using the Paste Values Only Shortcut
The fastest and most universally adopted method to freeze calculations in place relies on standard keyboard shortcuts:
- Highlight the cell or range of cells containing the formulas you want to freeze.
- Copy the selection by pressing Ctrl + C on Windows or Command + C on Mac.
- Without moving your selection, press the “Paste values only” keyboard shortcut:
- Windows: Press Ctrl + Shift + V
- Mac: Press Command + Shift + V
The active formulas are instantly overwritten by their current evaluation results. If you inspect the Formula Bar at the top of the sheet, you will observe raw text or numbers rather than formula syntax.
Method 2: Convert Formulas via the Context Menu
If you prefer mouse-driven navigation without memorising keyboard combinations:
- Select the cell range containing your formulas.
- Right-click anywhere within the highlighted boundary and select Copy (or press Ctrl + C).
- Right-click the exact same range (or the top-left cell of a new destination range).
- Hover your cursor over Paste special in the context menu.
- Click Values only from the flyout submenu.
Method 3: Converting Formulas on the Google Sheets Mobile App
If you are working on an Android smartphone, tablet, iPhone, or iPad:
- Open your spreadsheet in the Google Sheets mobile application.
- Tap and drag the boundary handles to select the target cells.
- Long-press the selection and tap Copy from the pop-up ribbon.
- Without clearing the selection, long-press the cells again, tap the three-dot overflow button on the menu, and choose Paste special.
- Select Paste values only.
Best Practices Before Freezing Formulas
Because converting formulas to values permanently destroys the underlying calculation logic, it cannot be reversed once your undo history expires or the workbook is closed. If you anticipate needing to audit or adjust calculation rules in the future, duplicate the active worksheet as a raw backup tab before converting your primary operational table into static values.
