How to Configure Retention Labels and File Versioning in Microsoft Word and SharePoint

Managing document lifecycle compliance across Microsoft 365 requires coordinated controls between Microsoft Purview Information Governance and SharePoint Online document libraries. When legal regulations require preserving contract drafts for seven years or mandating automatic disposal of temporary working notes, configuring retention labels and document versioning in Microsoft Word guarantees regulatory compliance while protecting against premature document destruction.

Understanding Microsoft Purview Retention Labels vs Version History

Document governance consists of two parallel protection mechanisms:

  • Retention Labels: Administrative policies defined in Microsoft Purview that dictate how long a document must be retained, whether edits are permitted, and when destruction is mandated. Once applied, labels persist with the file even if moved or renamed.
  • SharePoint Library Versioning: The underlying storage mechanism that records incremental deltas every time a user saves changes in Word. Versioning preserves an audit ledger of major (e.g., 1.0, 2.0) and minor (e.g., 1.1, 1.2) revisions.

Configuring SharePoint Library Versioning Policies

Establish versioning quotas to maintain extensive audit trails without consuming infinite tenant storage:

  1. Navigate to your SharePoint site and open the target Document Library.
  2. Click the gear icon (Settings) in the upper right and select Library settings > More library settings.
  3. Click Versioning settings under General Settings.
  4. Under Document Version History, select Create major and minor (draft) versions.
  5. Configure version limits:
    • Keep the following number of major versions: Set to 100 (or 500 for compliance libraries).
    • Keep drafts for the following number of major versions: Set to 20.
  6. Under Draft Item Security, select Only users who can edit items to hide unapproved drafts from general read-only viewers.
  7. Click OK to apply policies.

Publishing and Applying Retention Labels to Word Documents

Deploy a retention label from the Microsoft Purview compliance portal:

  1. Open the Microsoft Purview portal (purview.microsoft.com).
  2. Navigate to Data Lifecycle Management > Microsoft 365 > Retention labels.
  3. Click Create a label and specify parameters:
    • Name: Legal-Contracts-7Yr-Retain.
    • Retention Period: 7 years based on created date or last modified date.
    • Action at End of Period: Trigger a manual disposition review or auto-delete.
  4. Publish the label to target SharePoint sites via a Label Policy.

Viewing and Applying Labels Directly Inside Microsoft Word

Once published, end users can apply the compliance label directly from within the Microsoft Word desktop or web interface:

  • Open the document in Microsoft Word.
  • Click the File tab in the ribbon and select Info.
  • Locate the Retention Label dropdown under Properties and select Legal-Contracts-7Yr-Retain.
  • Word binds the compliance policy immediately. Even if a user attempts to delete the document from SharePoint, the Preservation Hold Library intercepts the deletion and securely archives the file until the retention duration expires.
