How to Configure Edge Workspaces and Real-Time Tab Collaboration in Microsoft Edge

Onboarding new team members to complex software engineering projects, digital marketing campaigns, or corporate audits typically involves emailing endless lists of URLs, SharePoint folders, Jira dashboards, and Figma design boards. Links get lost, different team members review outdated revisions, and coordinating multi-browser research remains chaotic. Microsoft solves collaborative browsing through Edge Workspaces—a feature built directly into Microsoft Edge that enables teams to share a live, synchronized set of browser tabs and favorites that update in real time for all participants.

Understanding Edge Workspaces Privacy and Synchronization

Before deploying Workspaces across project teams, it is important to understand what is shared and what remains private:

  • What Is Shared: The active list of open browser tabs, tab group names, colored categorizations, and workspace-specific favorites. When one collaborator opens a new tab, closes a tab, or moves a tab into a group, that change replicates across all members’ screens instantly.
  • What Remains Private: Individual user credentials, cookies, browsing history, form autofill data, and confidential session states are never shared. When a team member clicks on a tab pointing to an internal corporate dashboard, their own authenticated browser session is used.

Creating and Customizing an Edge Workspace

To create a collaborative workspace in Microsoft Edge:

  1. Launch Microsoft Edge on Windows or macOS (version 114 or later) and ensure you are signed in with your Microsoft 365 work/school account or personal Microsoft account.
  2. In the upper-left corner of the browser window, click the Workspaces icon (represented by overlapping squares).
  3. Click Create new (or the + icon).
  4. In the configuration dialog:
    • Enter a clear, descriptive Workspace Name (e.g., “Q4 Product Launch” or “DevOps Infrastructure”).
    • Choose a distinctive color scheme (such as Navy Blue, Forest Green, or Coral) to visually brand the workspace window frame.
  5. Click Done. Edge opens a dedicated browser window framed in your selected color with an isolated tab strip.

Inviting Team Members and Real-Time Presence

To share your active workspace with colleagues:

  1. In the top-right corner of the workspace window, click the blue Invite button.
  2. Click Copy link to generate a secure invitation URL.
  3. Send the link to your team via Microsoft Teams chat, Outlook email, or project documentation.
  4. When a colleague clicks the link, Edge opens the shared workspace on their device.
  5. Edge displays real-time presence avatars: small profile icons appear directly on the specific browser tab each collaborator is currently viewing, preventing duplicate work and facilitating natural team alignment.

Managing Workspaces and Project Offboarding

To maintain clean organization across ongoing company initiatives:

  • Click the Workspaces menu at any time to switch seamlessly between multiple projects without cluttering your personal browsing windows.
  • Pin critical shared tools to the Workspace Favorites bar for instant team-wide access.
  • When a project concludes, the workspace creator can click More options (…) > Delete workspace, or individual members can choose Leave workspace to disconnect cleanly.
