How to Create an Interactive Checklist with Checkboxes in Google Sheets

Tracking project milestones, daily habits, inventory audits, and event preparations often requires a simple, visual way to mark tasks as completed. While typing “Done” or “Yes” into spreadsheet cells works, it lacks interactivity and visual appeal. In Google Sheets, native Checkbox data validation allows you to convert plain cells into tactile, clickable checkboxes. When paired with conditional formatting rules and counting formulas, you can build dynamic, self-updating project trackers that strike through completed items and calculate percentage progress in real time.

How Checkboxes Work in Google Sheets

Unlike decorative bullet icons, checkboxes in Google Sheets operate on fundamental boolean data values:

  • Underlying Boolean Values: An unchecked box evaluates to FALSE, while a ticked box evaluates to TRUE. This allows formulas like COUNTIF and SUMIF to perform instant calculations based on checkbox states.
  • Keyboard Friendly: You do not need to click every box with your mouse; navigating to a checkbox cell and pressing the Spacebar toggles its state instantaneously.
  • Custom Values: You can configure checkboxes to represent custom values (such as “Approved” vs. “Pending”, or “1” vs. “0”) rather than standard boolean true/false flags.

How to Insert Checkboxes into Your Spreadsheet

Adding interactive checkboxes takes just two steps:

  1. Open your spreadsheet in Google Sheets.
  2. Highlight the range of cells where you want checkboxes to appear (for example, column A2:A20 alongside your task list).
  3. Click on Insert in the top menu bar.
  4. Select Checkbox.
  5. Interactive square checkboxes will populate the selected cells immediately, ready for clicking.

Automatically Striking Through Completed Tasks

To give your task list satisfying visual feedback when an item is ticked, apply conditional formatting to strike through the accompanying text:

  1. Highlight your task description cells (e.g., B2:B20).
  2. Click Format > Conditional formatting in the top menu.
  3. In the Conditional format rules sidebar, set the Format cells if dropdown to Custom formula is.
  4. Enter the formula: =$A2=TRUE (replace A2 with the top-left cell of your checkbox column, keeping the $ before the column letter).
  5. Under Formatting style, click the Strikethrough icon (the letter ‘S’ with a horizontal line) and choose a lighter grey text colour.
  6. Click Done. Ticking any checkbox will now automatically dim and strike through the adjacent task description.

Calculating Dynamic Completion Percentage

You can display a live progress metric at the top of your checklist using a simple mathematical formula:

  1. Select an empty cell above your list (e.g., B1).
  2. Enter the following formula:
    =COUNTIF(A2:A20, TRUE) / COUNTA(B2:B20)
  3. With the formula cell selected, click the Format as percent (%) button on the top toolbar.
  4. The cell will now report real-time progress (e.g., 75% Completed) as team members tick items off throughout the day.
