How to Search Files by Type, Owner, and Date in Google Drive

As team shared drives and personal cloud storage grow over the years, finding an individual file in Google Drive by scrolling through endless folder trees becomes impossible. While typing a broad keyword into the top search bar often returns hundreds of unrelated documents, spreadsheets, and archived emails, Google Drive includes powerful search chips and advanced filter operators that let you pinpoint the exact file you need in seconds.

Using Interactive Search Chips for Rapid Filtering

Google Drive displays interactive filter chips directly beneath the search bar whenever you begin a search query:

  • Type: Immediately limits results to specific formats such as Documents, Spreadsheets, Presentations, Forms, PDFs, Videos, or Folders.
  • People: Filters by the person who created, edited, or shared the document with you.
  • Modified: Narrows down documents by last modified timeframe (today, last 7 days, last 30 days, or a custom date range).
  • Location: Confines the search to “My Drive”, “Shared with me”, “Starred”, or specific subfolders.

Method 1: Access the Advanced Search Menu

For complex queries where you want to combine multiple criteria before running the search:

  1. Open Google Drive in your web browser.
  2. Click the Search options icon (three horizontal sliders) situated at the far right end of the top search bar.
  3. In the flyout search dialogue, configure your specific criteria:
    • Type: Choose your target file format (e.g., Spreadsheets).
    • Owner: Select Owned by me, Not owned by me, or enter a specific colleague’s email address.
    • Date modified: Choose Past 90 days or select custom start and end dates.
    • Item name: Enter words that you know appear strictly in the title of the file rather than the body text.
  4. Click the blue Search button at the bottom of the form to view instant, filtered results.

Method 2: Use Advanced Search Operators in the Search Bar

If you prefer typing keyboard shortcuts directly, Google Drive supports exact search query operators:

  • type:spreadsheet — Returns only Google Sheets and Excel workbooks.
  • type:pdf — Isolates PDF documents.
  • owner:[email protected] — Shows files created by a specific colleague.
  • after:2026-01-01 — Finds files edited after January 1st, 2026.
  • title:"Quarterly Report" — Restricts matches to files whose title contains that exact phrase.

Combining these operators (such as type:pdf owner:me after:2026-01-01) lets you drill straight down to the exact document you need without sifting through noise.
