How to Create and Extract Zip Archives in Ubuntu Using the Files App

Compressing files into Zip archives is one of the most common tasks when sending documents via email, archiving finished projects, or saving local disk space. While Linux is famous for its command-line terminal utilities like zip and unzip, everyday Ubuntu desktop users can manage compressed archives entirely through the graphical user interface. The default Ubuntu Files application (Nautilus) allows you to compress, extract, and password-protect Zip folders in seconds.

Why Use Zip Archives in Ubuntu?

Zip is the universal industry standard for cross-platform archive compression:

  • Universal Compatibility: Zip files created in Ubuntu open natively on Windows, macOS, Android, and iOS without requiring additional extraction tools.
  • Email Friendly: Bundles hundreds of loose spreadsheets or images into a single tidy attachment that bypasses email file count restrictions.
  • Built-In Encryption: Enables optional AES password encryption to safeguard sensitive documents before uploading them to cloud storage.

How to Create a Zip File in Ubuntu Files

Creating a compressed archive from one or multiple items requires just a couple of clicks:

  1. Open the Files application (the file cabinet icon on your Ubuntu dock).
  2. Navigate to the directory containing the items you wish to compress.
  3. Select the files or folders by dragging a selection rectangle or holding down Ctrl while clicking individual items.
  4. Right-click on any selected item and choose Compress… from the context menu.
  5. A dialogue box titled Create Archive will appear.
  6. Enter a name for your archive in the Filename field.
  7. Select .zip from the format options (Ubuntu also offers .tar.xz and .7z, but .zip provides the best universal compatibility).
  8. Optional Password Protection: Click the Password Protect toggle switch and enter a secure password if you want to encrypt the archive contents.
  9. Click the green Create button in the top-right corner. Your new compressed Zip file will appear immediately in the folder.

How to Extract Zip Files in Ubuntu

Unzipping downloaded archives or attachments is effortless in Nautilus:

  1. Locate the .zip file you want to decompress in the Files application.
  2. Right-click the archive to view extraction options:
    • Extract Here: Immediately unpacks the compressed contents directly into the current directory.
    • Extract to…: Opens a file browser allowing you to pick a specific destination folder before extracting.
  3. If the archive is password protected, Ubuntu will display a clean prompt asking for the encryption passphrase. Enter the password and click Unlock.
  4. The extracted files will open neatly inside a standard folder matching the archive name.

How to Preview Zip Contents Without Extracting

If you only need a single file from a large multi-gigabyte Zip archive, you do not need to unpack the entire package. Double-click the .zip archive to open it inside Ubuntu’s built-in Archive Manager. You can browse folder trees, preview documents, and drag individual items directly out of the window onto your desktop.
