As contact directories expand to include colleagues, clients, project collaborators, family members, and service providers, locating specific individuals or sending group communications becomes tedious. Google Contacts replaces rigid contact folders with dynamic “Labels”. Labels act as flexible tags, allowing a single contact to belong to multiple categories—such as “Marketing Team”, “London Office”, and “Project Gamma”—without duplicating contact cards across your account.
Understanding Contact Labels in Google Workspace
Labels in Google Contacts function seamlessly across the entire Google ecosystem. When you create and populate a label, the following integrations occur automatically:
- Gmail Autocomplete: Typing the label name into Gmail’s “To”, “Cc”, or “Bcc” fields instantly inserts every associated recipient’s email address.
- Google Calendar Invitations: You can invite an entire labelled group to a calendar event with a single search term.
- Device Synchronisation: Labels sync automatically to Android devices, Google Pixel contacts, and Google Contacts on the web.
- Non-Destructive Categorisation: Removing a label never deletes the underlying contact record from your address book.
How to Create Contact Labels in Google Contacts (Web)
The desktop browser interface offers the most versatile tools for managing large contact groups:
- Navigate to contacts.google.com and sign in with your Google account.
- In the left-hand navigation sidebar, look for the Labels section.
- Click the + (Create label) icon next to the Labels heading.
- In the dialogue box that appears, enter a concise, descriptive name (for example, “Quarterly Reviewers” or “Freelance Designers”).
- Click Save. Your new label immediately appears in the sidebar list.
Assigning Contacts to Labels
You can assign individual contacts or batch-assign multiple contacts simultaneously:
Method 1: Batch Assignment from the Main List
- Click Contacts in the sidebar to view your primary directory.
- Hover over a contact’s profile image or avatar and click the tickbox to select them.
- Select additional contacts by ticking their respective boxes.
- In the selection toolbar that appears across the top of the interface, click the Manage labels icon (a price tag symbol).
- Tick the checkboxes next to the labels you want to apply. You can apply multiple labels at once.
- Click Apply to confirm.
Method 2: Directly Within a Contact Profile
- Click on any contact card to open its detail view.
- Click the three dots (More actions) menu or the label tag icon located at the top right of the card.
- Select or deselect labels as appropriate.
- Changes save automatically.
Creating Labels on Android Mobile Devices
You can manage and assign labels while on the move using the native Google Contacts app on Android:
- Open the Contacts app on your Android phone or tablet.
- Tap the Organise tab at the bottom right, or tap the hamburger menu icon (three horizontal lines) in the top-left corner.
- Tap Create label under the Labels header.
- Type a name for the label and tap OK.
- Tap Add contacts within the newly opened label screen and select members from your phonebook.
Sending Group Emails in Gmail Using Contact Labels
Once your labels are configured, emailing an entire group takes only a few seconds:
- Open Gmail and click Compose to draft a new email.
- In the To field (or Bcc field to protect recipient privacy), begin typing the exact name of your contact label.
- Select the label from the autocomplete drop-down list.
- Gmail automatically populates the recipient field with all email addresses mapped to that label.
Renaming, Merging, and Deleting Labels
To keep your contact directory clean as teams or projects evolve:
- Rename a Label: Hover over the label name in the left sidebar on the web, click the pencil (Rename label) icon, update the name, and click Save.
- Delete a Label: Hover over the label, click the bin (Delete label) icon. Google Contacts will prompt you with two options:
- Keep all contacts and delete this label: Preserves all contact cards while deleting only the tag (recommended).
- Delete all contacts and this label: Permanently deletes both the label and all contacts assigned exclusively to it.
