How to Configure Meeting Options and Lobby Bypass in Microsoft Teams for Secure Calls

Ensuring meeting confidentiality, preventing unexpected intrusions, and maintaining strict control over participant audio and video are vital tasks when hosting virtual webinars, internal reviews, and client discussions in Microsoft Teams. Without properly configured meeting security policies, unverified attendees or external guests can join sensitive calls prematurely, share inappropriate screens, or disrupt proceedings. Microsoft Teams provides robust administrative and presenter controls through its Meeting Options and Lobby configuration settings.

The Teams Lobby acts as a secure virtual waiting room where participants remain until an authorised meeting organiser or presenter explicitly admits them. By customising lobby bypass rules, specifying who can present, and restricting attendee microphone and camera permissions, you can create a frictionless experience for verified team members while safeguarding against unauthorized access. In this guide, you will learn how to access Meeting Options, configure lobby bypass rules, manage attendee interaction permissions, and admit guests during live calls.

Understanding Microsoft Teams Lobby Bypass Options

The Who can bypass the lobby? setting controls which categories of participants enter the meeting automatically and who must wait for manual admission:

  • Only organizers and co-organizers: Highest security level. Every other participant—including internal colleagues—is held in the virtual lobby until manually admitted. Essential for highly confidential board or executive briefings.
  • People in my organization and guests: Users signed in with corporate tenant credentials and invited external guest accounts join automatically. Unauthenticated external callers wait in the lobby.
  • People in my organization: Only coworkers with matching organizational domains bypass the lobby. External partners and unauthenticated guests wait.
  • People who were invited: Only participants who received a direct calendar invite bypass the lobby; forwarded link recipients are held.
  • Everyone: Completely open meeting. Any user with the meeting URL enters directly without waiting. Suitable only for public webinars or informal town halls.

Step 1: Access Meeting Options Before the Call

You can configure lobby policies and attendee permissions well in advance of the scheduled meeting:

From the Microsoft Teams Calendar

  1. Open Microsoft Teams and select Calendar from the left sidebar.
  2. Double-click your scheduled meeting to open the event details window.
  3. Click Meeting options (or Options > More options) in the top menu ribbon.
  4. A dedicated configuration pane or browser window will open displaying security and attendee controls.

From Microsoft Outlook Calendar

If you schedule meetings in desktop Outlook or Outlook on the web, click the meeting invite on your calendar and select Meeting Options from the Teams Meeting ribbon group.

Step 2: Configure Lobby and Security Policies

In the Meeting Options screen, configure the core security parameters:

  1. Under Who can bypass the lobby?, select your desired security threshold (for example, People in my organization).
  2. Always let callers bypass the lobby: Toggle to No if you want dial-in telephone users to wait in the lobby until verified.
  3. Announce when callers join or leave: Toggle to Yes if you want an audio chime or voice announcement when participants enter or exit.
  4. Under Who can present?, change from Everyone to Specific people or Only organizers and co-organizers. This prevents uninvited attendees from taking over screen sharing.

Step 3: Manage Attendee Audio, Video, and Chat Permissions

To prevent interruptions during structured presentations or large-scale broadcasts:

  • Allow mic for attendees: Set to No to mute all attendees globally. Attendees cannot unmute themselves until you elevate them to presenter status or enable their microphone individually.
  • Allow camera for attendees: Set to No to disable participant video feeds and save meeting bandwidth.
  • Meeting chat: Choose between Enabled, Disabled, or In-meeting only (which prevents chatting before or after the call).
  • Allow reactions: Toggle on or off to permit thumbs-up, heart, and clapping emoji reactions.

Click Save at the bottom of the page to apply the policies.

Step 4: Admit and Manage Lobby Attendees During a Live Call

When the meeting is underway and participants arrive in the virtual waiting room:

  1. In the active meeting window, click the People icon in the top toolbar to open the participants pane.
  2. If participants are waiting in the lobby, a Waiting in lobby section appears at the top of the list.
  3. To admit a single attendee after verifying their identity, click the green Checkmark beside their name.
  4. To deny entry, click the red X icon.
  5. To admit all waiting guests at once, click the Admit all button at the top of the lobby list.

Step 5: Modify Meeting Options On the Fly During a Meeting

If unexpected disruptions occur or you need to lock down an active session:

  1. Click the More (…) button in the meeting toolbar.
  2. Select Settings > Meeting options.
  3. The configuration pane slides out on the right side of the screen. Adjust permissions immediately (such as muting all microphones or restricting presentation sharing) and click Save.
