Collaborating on corporate contracts, technical manuscripts, academic papers, and policy documentation requires clear visibility into every text revision, formatting change, and reviewer comment. If team members edit a document without tracking enabled, comparing alterations or resolving conflicting edits becomes an exercise in frustration.
Microsoft Word’s Track Changes engine is the industry standard for document collaboration and editorial workflows. It captures every insertion, deletion, and font alteration with distinct author-specific colours and timestamps. However, an abundance of red strikeouts, marginal comment bubbles, and insertion balloons can make a document nearly unreadable. Mastering Word’s Markup Views and reviewing tools allows you to toggle between clean reading layouts and detailed revision histories seamlessly. This tutorial explains how to enable Track Changes, switch between markup display modes, navigate the Reviewing Pane, filter revisions by author, and lock tracking with a password.
Enabling Track Changes in Microsoft Word
To turn on revision logging in your document:
- Open your document in Microsoft Word on Windows or Mac.
- Click on the Review tab in the ribbon menu.
- In the Tracking group, click the Track Changes button to turn it on (the button will highlight).
- To control who gets tracked, click the downward arrow on Track Changes and select:
- For Everyone: Tracks edits made by all collaborators who open the file.
- Just Mine: Tracks only your edits while leaving other editors untracked.
- Begin typing, deleting, or reformatting text. Additions appear underlined and highlighted in your assigned author colour, while deletions appear as strikethrough text or margin balloons.
Understanding the Four Markup Display Views
Next to the Track Changes button in the Review ribbon is the Display for Review dropdown. Word offers four distinct viewing perspectives:
| Markup View | Visual Appearance | Best For |
|---|---|---|
| Simple Markup | Displays clean final text with subtle vertical red lines in the left margin indicating where edits exist. Click a red line to expand edits. | Reading fluidly without distracting strikeouts and balloons |
| All Markup | Shows every insertion, deletion, format adjustment, and comment bubble in full detail. | Detailed editorial reviews and proofreading |
| No Markup | Hides all revision indicators completely, showing what the document will look like once all proposed changes are accepted. | Previewing final layout and page pagination before printing |
| Original | Hides all proposed changes and shows the document in its untouched state prior to tracking. | Comparing new edits against the original draft |
Navigating the Reviewing Pane and Filtering by Author
When working on large documents with multiple reviewers, visualising changes sequentially simplifies approval:
- In the Tracking group on the Review tab, click Reviewing Pane.
- Choose Reviewing Pane Vertical (docked on the left side) or Reviewing Pane Horizontal (docked along the bottom).
- The pane details the exact total count of revisions (insertions, deletions, moves, formatting, comments) and lists each change with the author’s name and timestamp.
- Filter by Specific Author: Click Show Markup > Specific People. Uncheck all reviewers except the author whose contributions you want to evaluate in isolation.
Locking Track Changes with a Password
To prevent contributors or clients from turning off Track Changes or quietly accepting revisions before formal approval:
- On the Review tab, click the downward arrow on the Track Changes button.
- Select Lock Tracking.
- Enter and confirm a strong password.
- Click OK.
- The Track Changes toggle becomes locked in the active position. Collaborators cannot turn off revision tracking, accept changes, or reject edits without entering the unlock password.
Accepting or Rejecting Revisions
Once editorial revisions are finalized, clean the document before distribution:
- Individual Decisions: Right-click any highlighted edit and select Accept Insertion, Accept Deletion, or Reject Change. Alternatively, use the Accept and Reject buttons on the Review ribbon to step through edits using Next and Previous.
- Bulk Approval: Click the arrow beneath the Accept button and select Accept All Changes and Stop Tracking to finalize the document for public publishing.
