Managing high-volume email workflows using the default single-stream Gmail inbox often results in critical follow-ups, pending client drafts, and urgent tasks getting buried under everyday notifications. While Gmail offers automated categories (Social, Promotions, Updates), serious productivity enthusiasts often prefer the Multiple Inboxes layout. This native interface splits your desktop display into up to five discrete search panes alongside your primary inbox, allowing you to monitor starred tasks, specific client labels, and unread memos simultaneously.
What is Multiple Inboxes in Gmail?
Multiple Inboxes allows you to construct modular, query-driven email panels within a single browser tab:
- Query-Powered Panes: Each pane operates using standard Gmail search operators (e.g.,
is:starred, label:urgent,is:drafts, orfrom:[email protected]). - Flexible Screen Orientations: Position extra inbox panels to the right of your primary inbox, above it, or below it.
- Real-Time Updates: As you apply labels or star emails, messages dynamically route into their corresponding workflow panel without page refreshes.
- Independent Page Limits: Define how many email conversations display in each individual pane (up to 99 items per section).
How to Enable and Configure Multiple Inboxes in Gmail
Setting up your workflow panels requires only a minute in Gmail Settings on desktop:
- Open Gmail in any desktop web browser.
- Click the Settings gear icon in the upper-right corner.
- In the Quick settings sidebar that slides out, scroll down to Inbox type.
- Select Multiple Inboxes.
- Click Customise directly beneath the Multiple Inboxes option (or click See all settings > Inbox).
Configuring Search Sections and Panel Labels
In the Multiple Inboxes configuration tab, you can set up to five custom sections:
| Section | Search Query | Section Name (Display Header) | Workflow Purpose |
|---|---|---|---|
| Section 1 | is:starred |
Action Required | High-priority emails requiring your immediate reply or task completion. |
| Section 2 | label:waiting-for |
Awaiting Response | Emails where you are waiting on deliverables or replies from others. |
| Section 3 | label:clients is:unread |
VIP Client Inquiries | Unread communications from designated key accounts and clients. |
| Section 4 | has:attachment larger:10M |
Heavy Attachments | Important documents or large deliverables needing local download. |
Adjusting Panel Positioning and Layout Options
Directly beneath your search queries, configure how your layout renders:
- Under Maximum page size, enter the number of conversations to display per pane (typically 5 to 10 keeps the view clean).
- Under Multiple Inboxes positioning, choose your preferred orientation:
- Right of the inbox: Highly recommended for modern widescreen and 1440p/4K monitors.
- Above the inbox: Places critical action items immediately at the top of your screen.
- Below the inbox: Keeps regular mail front-and-centre, with secondary tasks underneath.
- Scroll to the bottom of the page and click Save Changes.
Important Compatibility Rules
Note that Multiple Inboxes operates as a dedicated inbox mode. When Multiple Inboxes is enabled, Gmail’s automatic category tabs (Promotions, Social, Updates) and Priority Inbox sorting are automatically disabled to maintain a clean, distraction-free modular workspace. You can switch back to the standard default inbox at any time under Quick Settings without losing your configured search queries.
