Productive business meetings require clear agendas, live minute-taking, and decisive action items assigned before calls conclude. In older workflows, attendees juggled separate Word documents, shared OneNote notebooks, or chat threads that were easily forgotten once the call ended. To streamline this process, Microsoft integrated Collaborative Notes directly into Microsoft Teams meetings.
Powered by Microsoft Loop components, Collaborative Notes provides a unified, interactive canvas embedded directly into the Teams meeting interface. All participants can co-author meeting agendas, record live notes simultaneously, and assign follow-up tasks that sync automatically across Microsoft 365 services.
What Are Collaborative Notes in Microsoft Teams?
Collaborative Notes is a real-time, cloud-connected Loop component tied to your specific Teams meeting invitation. Because Loop components remain dynamic and synchronised wherever they are shared, your meeting notes do not remain locked inside Teams. Any task or bullet point created during the call automatically updates across:
- Microsoft Planner and To Do: Assigned action items immediately populate the assignee’s personal Microsoft To Do task list and team Planner boards.
- Microsoft Outlook: The meeting invitation in Outlook embeds the live notes canvas, allowing invitees to add agenda topics prior to the meeting.
- Microsoft Loop App: Access, edit, or incorporate the meeting notes into broader company project workspaces.
Setting Up Collaborative Notes Before a Meeting Begins
Establishing an agenda in advance helps attendees arrive prepared and keeps discussions focused on target goals:
- Open the Calendar in Microsoft Teams.
- Double-click your scheduled meeting (or create a new meeting invite).
- Scroll down to the meeting description area and click Add an agenda that others can edit.
- Enter preliminary discussion topics, attach relevant document links, and identify required decisions.
- Click Send update (or Send for new invites).
Invitees receiving the invitation can click into the agenda and contribute topics or comments immediately without launching a separate application.
Using Collaborative Notes During a Live Teams Meeting
During an active video or audio conference, interacting with live notes is seamless:
- In the main meeting window, click the Notes button located on the top toolbar (represented by a notebook icon).
- A dedicated Collaborative Notes pane expands on the right-hand side of your meeting stage.
- Type notes directly into the sections:
- Agenda: Check off completed items as discussion progresses.
- Meeting Notes: Record key decisions, architectural discussions, or client feedback. Multiple attendees can type simultaneously with real-time cursor indicators.
- Follow-up Tasks: Click Add a task, type the task name, assign an attendee using
@mention, and assign a due date.
Collaborative Notes vs Traditional Meeting Minutes
| Workflow Factor | Traditional Meeting Minutes | Teams Collaborative Notes |
|---|---|---|
| Authoring Model | Single designated note-taker | Real-time co-authoring across all participants |
| Task Assignment | Manual logging into project management tools later | Direct two-way sync with Microsoft Planner & To Do |
| Access Post-Meeting | Static files attached in emails or chat channels | Living Loop canvas accessible in Teams, Outlook, and Loop |
| Pre-Meeting Prep | Separate email chains gathering agenda topics | Shared agenda canvas pre-populated before call begins |
Managing Tasks and Post-Meeting Actions
When an action item is added to the Follow-up Tasks section in Collaborative Notes:
- The assigned individual receives an immediate notification in Microsoft Teams and Outlook.
- The task automatically appears in the user’s Assigned to me list inside Microsoft To Do and Planner.
- When the assignee marks the task as completed in Microsoft To Do, the checkmark instantly syncs back to the meeting’s Collaborative Notes canvas.
Accessing and Sharing Meeting Notes After the Call
Once the call concludes, you do not need to hunt through chat archives to review decisions:
- Navigate to the meeting’s chat thread in Teams Chat.
- The Collaborative Notes Loop component is pinned directly at the top of the chat or available in the Notes tab.
- You can copy the Loop component link and paste it into an email or another Teams channel; any subsequent edits made in that channel will reflect inside the original meeting notes canvas.
Permissions and External Guest Considerations
By default, Collaborative Notes inherits sharing permissions from your organisation’s Microsoft 365 Loop policy. Internal attendees within your tenant possess full edit access. External guests and federated participants can view or edit notes depending on your tenant’s external collaboration policies; if external access is restricted, guests will see a prompt directing them to request access or view read-only exports provided by the meeting organiser.
