How to Use Google Drive Priority Workspace to Find Files Faster

If you use Google Drive for work or school, your storage is likely filled with hundreds of scattered documents, spreadsheets, and presentation slides. When you need to find a specific file quickly before a meeting, searching through a chaotic labyrinth of nested folders is incredibly frustrating and wastes valuable time.

Google Drive offers a hidden organisation feature called Priority Workspaces. Rather than forcing you to move files into physical folders, a Workspace acts like a digital bulletin board. It allows you to create custom collections of shortcuts to your most important files, pulling together related documents from entirely different locations across your Drive into one easily accessible hub.

How to Create a Priority Workspace

To use this feature, you must access Google Drive through a web browser on a desktop or laptop computer.

  1. Open Google Drive in your web browser.
  2. Look at the navigation menu on the far left side of the screen. Click on Priority (located directly above “My Drive”).
  3. In the main window, look for the section titled “Workspaces”.
  4. Click the Create Workspace button.
  5. A pop-up window will appear. Type a descriptive name for your new collection, such as “Q3 Marketing Campaign” or “Weekly Budget Review”.
  6. Click Create.

How to Add Files to a Workspace

Once you create a Workspace, Google Drive will immediately open it and attempt to intelligently suggest files you might want to add based on your recent activity.

  1. If Google suggests the correct file, simply click the Add button next to it.
  2. To find a specific file manually, click the Choose other files option at the top of the Workspace panel.
  3. A sidebar will appear on the right side of the screen. You can use this sidebar to browse through your entire Drive structure or use the search bar at the top to locate specific documents.
  4. Click the checkbox next to every file you want to include in this collection.
  5. Click the Insert button at the bottom of the screen.

Your Workspace will now display all the selected files as large, easy-to-click thumbnails.

The Benefit of Workspaces over Folders

It is vital to understand that adding a file to a Workspace does not move the file from its original location.

If a Master Budget spreadsheet lives deep inside the “2023 > Financials > Q4” folder, it stays exactly there. The Workspace simply creates a shortcut to it. This allows you to group a Google Sheet belonging to the Finance department, a Google Doc belonging to the HR department, and a PDF belonging to a client into one central hub without disrupting the company’s official folder structure.

Furthermore, a single file can exist in multiple different Workspaces simultaneously. When a project is finished, you can safely delete the Workspace. Google Drive will only delete the shortcuts, leaving the original files completely untouched and safe in their original folders.
