If your Apple Mail inbox is constantly overflowing, finding emails you have not yet read can quickly become an overwhelming chore. Scrolling through hundreds of messages simply to locate a missed email is inefficient and frustrating. Fortunately, Apple Mail includes a powerful organisation feature called Smart Mailboxes that can automate this process entirely.
A Smart Mailbox does not actually move your emails from their original folders. Instead, it acts as a live, constantly updating search filter. When you create a Smart Mailbox for unread messages, it gathers every unread email from all your connected accounts and displays them in one convenient location.
Setting Up the Unread Smart Mailbox
Creating this live filter only takes a few clicks. It works seamlessly whether you are using iCloud, Gmail, Outlook, or a custom IMAP account within the Apple Mail app.
- Open the Mail application on your Mac.
- In the top menu bar, click on Mailbox.
- Select New Smart Mailbox from the dropdown menu.
- A configuration window will appear. In the Smart Mailbox Name field, type a clear name such as “Unread Emails”.
- Under the “Contains messages that match” section, ensure the dropdown menu is set to all of the following conditions.
- In the first condition row, click the first dropdown menu and select Message is Unread.
- Click the OK button to save your new Smart Mailbox.
Organising Your Mail Sidebar
Once created, your new Smart Mailbox will appear in the left sidebar of the Mail application, under a dedicated “Smart Mailboxes” section.
Clicking this mailbox will instantly display every unread message across all your accounts. As soon as you click an email and read it, it will automatically disappear from this Smart Mailbox, helping you achieve a clean, zero-inbox state without manually dragging or deleting files.
Customising the Filter for Specific Accounts
If you have multiple email accounts connected (such as work and personal) but only want to see unread emails from your work account, you can easily refine the Smart Mailbox rules.
- Right-click (or Control-click) on your “Unread Emails” Smart Mailbox in the sidebar.
- Select Edit Smart Mailbox.
- Click the + (plus) button on the right side of your existing “Message is Unread” rule to add a second condition.
- In the new row, set the first dropdown to Account.
- Set the second dropdown to your specific work email account.
- Click OK to apply the changes.
