How to Create a Dropdown List in Apple Numbers

When designing a spreadsheet for data entry, budget tracking, or project management, maintaining data consistency is vital. If multiple people are typing information into a column manually, you will inevitably end up with typographical errors and inconsistent formatting. Apple Numbers solves this problem by allowing you to create dropdown menus (referred to as Pop-Up Menus) inside your cells.

A dropdown list forces users to select an option from a predefined list of acceptable values, ensuring that your data remains clean, uniform, and easy to sort or filter later.

How to Add a Pop-Up Menu to a Cell

Creating a dropdown list in Apple Numbers is handled entirely through the formatting sidebar. Unlike other spreadsheet applications that rely on complex data validation rules, Numbers makes the process visual and straightforward.

To create a standard dropdown list:

  1. Select the cell or group of cells where you want the dropdown list to appear. You can select an entire column by clicking the letter at the top of the column.
  2. Look to the right side of the Numbers window and click the Format button to open the sidebar.
  3. At the top of the Format sidebar, click the Cell tab.
  4. Look for the Data Format section. It usually defaults to “Automatic”. Click this dropdown menu.
  5. Select Pop-Up Menu from the list of formats.

How to Customise the Dropdown Options

As soon as you select the Pop-Up Menu format, Apple Numbers will automatically populate the cell with default placeholder options (usually “Item 1”, “Item 2”, and “Item 3”). You must edit these items to suit your specific spreadsheet needs.

To edit the list items:

  1. In the Cell formatting sidebar, look beneath the Data Format menu. You will see a list of the current items.
  2. Double-click on “Item 1” and type your first desired option. Press Enter.
  3. Repeat this process for the other default items.
  4. To add a new option to your dropdown list, click the plus (+) button located below the list of items.
  5. To remove an option, click the item in the sidebar once to select it, then click the minus (-) button.
  6. You can rearrange the order in which the items appear in the dropdown by clicking and dragging the items up or down in the sidebar list.

How to Set the Default Blank Option

By default, Apple Numbers forces the first item in your Pop-Up Menu to display in the cell automatically. This can be problematic if you want the cell to appear blank until a user actively makes a selection.

To fix this, you must configure the dropdown menu to start with a blank value:

  1. Look at the very bottom of the Pop-Up Menu settings in the Cell sidebar.
  2. Locate the option labelled Start with Blank.
  3. Click the dropdown menu next to it and select Start with Blank (or choose “First Item” if you prefer a default selection).

Your cells will now remain completely empty until you click on them and select an option from your newly created custom dropdown list.
