How to Add a Note to a Cell in Microsoft Excel

Spreadsheets are excellent for displaying raw numbers, but numbers alone often lack context. If a sales figure for Q3 drops by 40%, the raw data simply shows the decline. It does not explain why it happened. If you type the explanation into an adjacent cell, it ruins the formatting of your meticulously structured data table.

Microsoft Excel provides a solution for this through “Notes” (formerly called Comments in older versions of Excel). A Note allows you to attach a hidden block of text to a specific cell. The text remains invisible until another user hovers their mouse over the cell, at which point a small yellow sticky note pops up to explain the context behind the number.

Step 1: Adding a Note to a Cell

Adding a note is a simple, non-destructive way to annotate your data without altering any formulas or cell sizes.

  1. Open your Microsoft Excel spreadsheet.
  2. Locate the specific cell that contains the data you want to annotate (e.g., the cell showing the anomalous Q3 sales figure) and click on it once to select it.
  3. Right-click on the selected cell.
  4. From the large context menu that appears, scroll down and click on New Note. (Note: Do not click “New Comment.” In modern Excel, Comments are for threaded conversations with colleagues, while Notes are for static annotations).
  5. A yellow box will appear attached to the cell, usually featuring your username at the top.
  6. Type your explanation directly into the yellow box (e.g., “Sales dropped due to a massive supply chain disruption in August.”).
  7. When you are finished typing, click any other random cell on the spreadsheet. The yellow box will disappear.

How to View Notes

You can instantly tell if a cell contains a hidden Note by looking at its top-right corner. Excel places a tiny, bright red triangle in the corner of any cell that has a Note attached to it.

To read the annotation, you do not need to click anything. Simply move your mouse cursor and hover it over the cell with the red triangle. The yellow sticky note will instantly pop up, allowing you to read the text. As soon as you move your mouse away, the note vanishes.

Step 2: Editing or Deleting a Note

If you made a typo or the context behind the data changes, you can easily modify your annotation.

  1. Locate the cell with the red triangle.
  2. Right-click the cell.
  3. From the context menu, select Edit Note. The yellow box will reappear with a blinking cursor inside, allowing you to change the text.
  4. Alternatively, if you want to remove the annotation entirely, select Delete Note from that same right-click menu. The red triangle will instantly disappear from the cell.
