How to Rehearse Presentation Timings in Microsoft PowerPoint

Delivering a compelling presentation requires more than just beautiful slides; it requires precise timing. If you have been allocated exactly 15 minutes to pitch a project to stakeholders, finishing in 10 minutes can make you seem underprepared, while running over to 20 minutes can irritate your audience and force you to rush your conclusion.

Practising with a stopwatch is clumsy, and attempting to guess the length of your speech while clicking through slides rarely results in accurate estimates. Fortunately, Microsoft PowerPoint includes a built-in feature designed specifically for this purpose.

The Rehearse Timings tool allows you to practice your delivery while PowerPoint secretly records exactly how long you spend on each slide, giving you a precise total runtime. This guide explains how to use the Rehearse Timings feature effectively.

How to Start Rehearsing Your Timings

Before you begin, ensure your presentation is completely finished, as adding or removing slides later will ruin your recorded timing data.

  1. Open your presentation in Microsoft PowerPoint.
  2. Click on the Slide Show tab in the ribbon at the top of the window.
  3. Locate the “Set Up” group and click the Rehearse Timings button. (It looks like a stopwatch next to a clock).

As soon as you click the button, PowerPoint will launch into full-screen presentation mode, starting from Slide 1. The key difference is a small “Recording” toolbar that appears in the top-left corner of your screen.

How to Use the Recording Toolbar

The Recording toolbar is your control centre during the rehearsal. It displays two different timers side-by-side.

  • The Left Timer: This shows the time elapsed for the current slide.
  • The Right Timer: This shows the total time elapsed for the entire presentation so far.

As you practice your speech, treat the rehearsal exactly like the real event. Speak at your normal volume and pace. When you are ready to advance to the next slide or trigger the next animation, simply click your mouse, press the spacebar, or click the “Next” arrow on the Recording toolbar.

If you stumble over your words and want to try a slide again, do not stop the entire presentation. Click the Repeat button on the Recording toolbar (the curved arrow). This instantly resets the left timer for the current slide back to zero, allowing you to practice that specific slide again without ruining the total presentation time.

If you need to cough or take a sip of water, click the Pause button (the two vertical lines) to temporarily freeze both timers. Click it again to resume.

Saving Your Rehearsed Timings

Continue speaking and advancing through your slides until you reach the end of the presentation.

When you click past the final slide, PowerPoint will exit full-screen mode and display a prompt saying: “The total time for your slide show was [X] minutes. Do you want to save the new slide timings?”

  • Click Yes to save the data.
  • Click No if you were just practising and do not want PowerPoint to remember the timings.

How to View and Use Your Saved Timings

If you clicked Yes, PowerPoint now knows exactly how long each slide takes. To view this data, look at the bottom-right corner of the PowerPoint window and click the Slide Sorter view icon (it looks like four small squares).

In Slide Sorter view, you will see a grid of all your slides, with a precise time (e.g., 01:45) displayed beneath each one. This allows you to instantly identify which slides are taking too long and where you need to cut content.

Crucial Warning: By default, saving these timings instructs PowerPoint to automatically advance your slides during the real presentation based on that exact pacing. If you prefer to click through the slides manually on the day, you must disable the automatic advancement.

To do this, go back to the Slide Show tab in the ribbon and uncheck the box labeled Use Timings.
