The Disappearing Archive
If you use the default Apple Mail application on your Mac, you might eventually try to search for an important receipt or a conversation from several years ago, only to discover that it is completely gone. By default, Apple Mail often tries to save local hard drive space by removing older messages from your local inbox, or it might be following aggressive server-side deletion rules set by your email provider (like Gmail or Yahoo) that are syncing down to your Mac.
How to Change Apple Mail Download Settings
The most common reason old emails disappear from your Mac is that the Mail app is configured to only keep a limited cache of recent messages downloaded on your physical hard drive.
1. Open the Mail application on your Mac.
2. In the top menu bar, click on Mail and select Settings… (or Preferences… on older macOS versions).
3. Click on the Accounts tab at the top of the window.
4. Select your specific email account from the list on the left side.
5. Click on the Account Information tab on the right side.
6. Look for a dropdown menu labelled Download Attachments. Ensure this is set to All so that nothing is left behind on the server.
Note: If you are using an Exchange or IMAP account, ensure that the server itself is not set to archive or delete emails after a specific timeframe, as Apple Mail will blindly mirror those deletions.
How to Stop Automatic Trash Deletion
If you frequently use your “Trash” or “Deleted Messages” folder as a temporary holding area and find that emails are vanishing from it before you can recover them, Apple Mail is likely emptying the trash automatically.
1. Stay in the Mail Settings > Accounts window.
2. Click on the Mailbox Behaviors tab.
3. Look for the section labelled “Trash.”
4. Click the dropdown menu next to Erase deleted messages.
5. By default, this might be set to “After one month” or “When quitting Mail.” Change this setting to Never.
Once set to Never, emails you delete will stay in your Trash folder permanently until you explicitly right-click the Trash icon and choose “Erase Deleted Items,” ensuring you never accidentally lose a discarded email.
