The Disappearing Toolbar
Microsoft Excel features a massive toolbar at the top of the screen known as the “Ribbon,” which contains hundreds of critical formatting and data analysis commands. To maximize the space available for viewing your spreadsheet cells, Excel has a feature that automatically collapses the Ribbon, hiding all the buttons and leaving only the tab names (Home, Insert, Page Layout) visible. While this provides more screen real estate, it requires you to click a tab every single time you want to format a cell, adding an infuriating extra click to every action.
How to Force the Ribbon to Stay Open
You can “pin” the Ribbon so that it remains permanently visible, sacrificing a few rows of spreadsheet space in exchange for immediate access to all your tools.
1. Open Microsoft Excel.
2. Look at the very top of the window, above your spreadsheet.
3. Click on any of the main tabs (such as Home or Insert) to temporarily reveal the full Ribbon of buttons.
4. Move your mouse to the absolute far right edge of the newly revealed Ribbon.
5. Look for a tiny icon that looks like a pushpin (in older versions of Excel) or a small downward-pointing arrow (in newer versions, labelled “Ribbon Display Options”).
6. If you see the pushpin, click it. The Ribbon will instantly lock into place.
7. If you see the downward arrow, click it and select Always show Ribbon from the drop-down menu.
The Keyboard Shortcut Alternative
If you frequently switch between needing maximum screen space for viewing data and needing the toolbar for intense formatting, navigating to the tiny pushpin icon can be tedious. Instead, you can instantly toggle the auto-collapse feature using a built-in keyboard shortcut.
Simply press Ctrl + F1 on your keyboard.
Pressing it once will collapse the Ribbon to show only the tabs. Pressing it again will instantly lock the full Ribbon back into place, allowing you to fluidly adapt your workspace without touching the mouse.
