The Shrink to Fit Feature
Microsoft Word includes a legacy feature known as “Shrink to Fit” or “Shrink One Page.” If you have a document that spills over onto a new page by just a few lines, clicking this button commands Word to automatically reduce the font sizes of all your text, adjust the line spacing, and alter the margins until the entire document squeezes onto the previous page. While this can save paper in a pinch, it often results in unpredictably tiny text and ruined formatting that is incredibly difficult to manually reverse.
How to Undo an Accidental Shrink to Fit
The biggest problem with the Shrink to Fit tool is that there is no “Unshrink” button. If you accidentally clicked the command and your document’s formatting is ruined, you must rely on Word’s Undo history.
1. Immediately after the text shrinks, press Ctrl + Z on your keyboard (or click the curved Undo arrow in the top-left Quick Access Toolbar).
2. This will instantly revert the font sizes and margins to their original, intended specifications.
Warning: If you saved the document and closed Microsoft Word after shrinking the text, the Undo history is wiped clean. You will have to manually re-highlight all your text and reset the font sizes by hand.
How to Remove the Command from the Toolbar
To prevent yourself (or a less experienced colleague) from ever accidentally triggering this formatting disaster again, you should remove the command from the Quick Access Toolbar.
1. Look at the very top-left corner of the Word window (above the File menu). This is the Quick Access Toolbar.
2. If you see an icon that looks like two pages with a blue arrow pointing backwards, that is the “Shrink to Fit” button.
3. Right-click directly on that icon.
4. Select Remove from Quick Access Toolbar from the context menu.
The dangerous button will disappear, ensuring your carefully crafted document formatting remains exactly as you designed it.
