One of the most frustrating experiences when drafting a document is pasting text from a website, an email, or another word processor, only to find that it brings all of its original styling with it. Suddenly, your clean document is ruined by mismatched fonts, aggressive highlighting, bizarre line spacing, and unwanted bold text. Instead of manually highlighting each section and attempting to reset the font dropdowns, you can use the Google Docs “Clear Formatting” tool to instantly strip away all external styles.
Why Use the Clear Formatting Tool?
The Clear Formatting tool acts as a reset button for text. It strips away all localized inline styles—such as font family, font size, text color, background highlights, bolding, and italics—and forces the selected text to adopt the default “Normal text” style of your current document. It is the fastest way to sanitize messy, copied-and-pasted content without losing the actual words.
Step 1: Select the Messy Text
You must tell Google Docs exactly which text needs to be sanitized.
- Open your document in Google Docs.
- Locate the text that has the incorrect formatting.
- Click and drag your mouse to highlight the problematic text. Tip: You can press Ctrl + A (Windows) or Cmd + A (Mac) to select the entire document if the whole thing is a mess.
Step 2: Apply the Clear Formatting Tool
With the text selected, you can trigger the reset.
- Look at the main toolbar at the top of the screen.
- On the far right side of the toolbar, click the icon that looks like a capital letter T with a diagonal line striking through it (Clear formatting).
- Alternatively, you can go to the top menu bar, click Format, and select Clear formatting from the bottom of the dropdown list.
- The text will instantly change. All weird fonts, colors, and highlights will vanish, and the text will perfectly match your document’s default font and size.
Step 3: Use the Keyboard Shortcut
If you paste text from external sources frequently, clicking the menu button is too slow. You should memorize the keyboard shortcut.
- Highlight the messy text.
- On Windows or ChromeOS, press Ctrl + \ (Control and the backslash key).
- On a Mac, press Cmd + \ (Command and the backslash key).
- The formatting will instantly clear.
Alternative Method: Paste Without Formatting
An even better approach is to prevent the bad formatting from entering your document in the first place.
- Copy text from a website.
- Switch to your Google Doc.
- Instead of pressing standard Paste (Ctrl+V), press Ctrl + Shift + V (Windows/ChromeOS) or Cmd + Shift + V (Mac).
- This executes a “Paste without formatting” command, stripping the styles as the text enters the document.
By utilizing the Clear Formatting tool and the unformatted paste shortcut, users can maintain perfectly consistent, professional typography in their Google Docs.
