When compiling business reports or educational materials in Google Docs, text alone is often insufficient for explaining complex workflows or hierarchical structures. While you could create a flowchart in a separate application and import it as an image, updating that diagram later requires switching back and forth between programs. To solve this, Google Docs includes a fully functional, built-in vector drawing application called the “Insert Drawing” tool.
Why Use the Drawing Tool?
The Insert Drawing tool allows you to create shapes, text boxes, arrows, and complex flowcharts directly within your document interface. Because the diagrams are natively embedded, you can double-click them at any time to edit the text or rearrange the shapes. This keeps your document lightweight and ensures your visual assets are always fully editable.
Step 1: Open the Drawing Canvas
The drawing canvas acts as a floating overlay above your document.
- Open your document in Google Docs.
- Place your cursor exactly where you want the diagram to appear.
- Click Insert in the top menu bar.
- Hover over Drawing, then click New.
- A large, checkered drawing canvas will open on your screen.
Step 2: Add Shapes and Text
You can use the toolbar at the top of the canvas to build your diagram.
- Click the Shape icon (which looks like a circle overlapping a square) to select rectangles, circles, or specialized flowchart symbols.
- Click and drag on the canvas to draw the shape.
- To add text inside the shape, simply double-click the center of the shape and begin typing.
- Use the Fill color (paint bucket icon) and Border color tools to customize the appearance of your shapes.
Step 3: Connect the Shapes
The most powerful feature of the drawing tool is its dynamic connectors.
- Click the Line tool icon.
- Hover your mouse over one of your shapes. You will see small purple anchor points appear on its edges.
- Click and hold one of these purple points, then drag the line to a purple anchor point on a second shape.
- Release the mouse to connect them. Now, if you move either shape around the canvas, the connecting line will automatically stretch and route itself to stay attached.
Step 4: Insert and Edit the Diagram
Once your diagram is complete, you must save it to the document.
- Click the blue Save and Close button in the top right corner of the canvas.
- The diagram will instantly embed itself into your document as an image block.
- To modify the diagram later, simply double-click the image in your document to reopen the drawing canvas and make changes.
